Job Summary:
Secretary II provides administrative support and advanced secretarial support in handling a variety of situations, issues, and deviations in the work of the office according to general instructions, priorities, duties, policies, and program goals.
Duties/Responsibilities:
Screens telephone calls, visitors, and incoming correspondence; personally responds to requests for information concerning office procedures; determines which requests should be handled by the supervisor, appropriate staff member, or other offices.
Performs a wide variety of administrative functions in support of agency personnel, including but not limited to answering and directing inbound telephone calls, managing calendars, greeting guests, preparing Excel spreadsheets, drafting and editing memorandums, letters, and other forms of correspondence.
Prepare routine, non-technical correspondence. The contractor shall also prepare correspondences for the management's signature. The contractor shall schedule tentative appointments without prior clearance.
Arrange conferences and meetings and assemble established background materials.
Attend meetings and record and report on the proceedings.
Review outgoing materials and correspondence for internal consistency and conformance with procedures; and ensure that proper clearances have been obtained.
Collect information from the files or staff for routine inquiries on office programs or periodic reports. Evaluate non-routine requests as appropriate.
Explain required office procedures to subordinate staff.
Coordinate personnel and administrative forms for the office and forward to appropriate staff for processing.
Safeguard and protect sensitive government information.
Ability to manage multiple priorities and adhere to strict timelines as requested.
Perform miscellaneous duties as needed.

Experience:
Minimum 2-4 years experience in general office experience in creating/editing electronic spreadsheets.
Ability to review data spreadsheets and sampling data.
Familiarity with data systems and performing qualitative and quantitative analysis.
Working knowledge of MS Office-Work, Excel, and Outlook.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
