JOB GOAL
To assure the smooth and efficient operation of the school office so that the office’s maximum positive impact on the education of children can be realized.
PERFORMANCE RESPONSIBILITIES
- Maintains student database for attendance, personal, and grading records.
- Obtains, gathers, and organizes pertinent data as needed and puts it into usable form.
- Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as instructed.
- Places and receives telephone calls and records messages.
- Orders and maintains supplies as needed.
- Performs any assigned bookkeeping tasks.
- Maintains a schedule of appointments and makes arrangements for conferences and interviews.
- Assigns duties to and supervises the work of clerical office personnel.
- Welcomes visitors and arranges for their comfort, and screens unexpected callers in accordance with predetermined policy.
- Maintains such student records as shall be required.
- Maintains a daily attendance staff log.
- Maintains a log of visitors to the school.
- Types a variety of material such as letters, student records, reports, memos, and monthly statements from rough drafts or corrected copy.
- Files correspondence, invoices, cards, or other records in prescribed manner, depending upon the practice of the department to which assigned.
- Assists in keeping update of inventory.
- Maintains supplies for the continuous operation of office equipment.
- Receives, sorts, and delivers all incoming mail.
- Prepares parcels for mailing or shipping, and receives and distributes shipments from truckers and delivery services.
- Receives and delivers interoffice written communications.
- Answers questions of callers according to school policy, takes messages for staff members, and pages authorized personnel over the intercom system.
- Maintains an alphabetical file of staff members’ names, room locations, and telephone extensions to expedite relaying of calls.
- Keeps records of toll charges.
- Assumes prime responsibility in the processing of student attendance and inputting of data on office computer.
- Performs such other duties as may reasonably be prescribed by the principal.
