BASIC FUNCTION
Under the direction of the Assistant Principal or Principal, perform a variety of independent secretarial and clerical functions at a middle school; coordinate school office activities; perform public relations and communication services for the administrator.

Examples of Duties

Perform a variety of independent secretarial and clerical functions at a middle school, relieving the supervisor of routine administrative detail as appropriate. E
Perform public relations and communication services for the administrator; coordinate flow of communications between administrators, faculty, staff, students, parents and the community; receive and respond to inquiries, requests and concerns; direct students and visitors to appropriate campus services. E
Type a variety of correspondence, reports, lists, letters and other documents including those of a confidential nature; prepare, take minutes and provide agendas for committee and group meetings as assigned; maintain master calendar as directed. E
Schedule and coordinate meetings, appointments and conferences; screen visitors and phone calls; open, sort, screen, distribute and send mail; communicate phone messages to administrator. E
Prepare, distribute, collect and process specialized forms, packets and information; maintain complex records, lists, logs and files related to students, class schedules, staff, attendance, campus activities, budget and instructional programs. E
Prepare and maintain current lists, records and reports of students assigned to detention, suspension or campus clean-up activities as directed; receive and process discipline forms as assigned. E
Compose, prepare and assemble materials including correspondence, calendars and summary reports; research, collect, compile and edit other reports, manuals and documents. E
Review and check documents for completeness, accuracy and conformance with applicable rules, regulations and procedural requirements. E
Communicate with students, staff and the public, providing information related to District policies, regulations, school functions, activities and programs; make decisions regarding procedural matters according to established guidelines. E
Operate a variety of office equipment including a typewriter, copier, laminator, facsimile, calculator, two-way radio, transcription equipment, computer and assigned software. E
Provide work direction and oversee student workers as assigned; monitor workflow, attendance and performance, adjusting duties to complete assignments in a timely and efficient manner.
Participate in other assigned activities such as assisting with payroll, evaluations and preparing schedules, distributing keys and bus passes, performing receptionist duties, maintaining office equipment, scheduling and preparing for applicant interviews, assigning lockers and coordinating facility activities.
Administer routine first aid to students and staff as assigned by the position; dispense medication according to physician instructions and District policy; notify parents of ill or injured students as needed.
Assist in locating and checking in substitute teachers as assigned.
Monitor inventory level of office supplies and order as necessary.
Perform related duties as assigned.

Minimum Qualifications

Any combination of education and experience equivalent to: graduation from high school and two years of responsible secretarial or clerical experience preferably in a school environment working with students.

Meet schedules and time lines.
Plan and organize work.
Type and input data at an acceptable rate of speed.
Compose correspondence independently.
LICENSES AND OTHER REQUIREMENTS:
Some positions in this classification must obtain a valid First Aid and CPR Certification issued by an authorized agency within six months of employment.
SELF CERTIFICATION OF TYPING/KEYBOARDING SKILLS:
This classification requires that incumbents be skilled in typing/keyboarding at a minimum of 45 words per minute. A typing test will not be given. Applicants must certify in writing that they have such skills. Demonstrated proficiency will be expected during the probationary period for the class.

HAZARDS:
Potential for contact with dissatisfied or abusive individuals.
In accordance with Personnel Commission Rules and Regulations of Classified Service # 70.200.1, new employees to Poway Unified School District will be placed at Step 1 (Minimum Salary) of the official salary range designated for the position. Any variances in initial placement are addressed in, and shall be carried out in agreement with, this rule.
