Responsibilities:
- Demonstrate flexibility when meeting patient care needs as follows: Assist in scheduling POF's, returning telephone calls, and rescheduling appointments in the absence of other schedulers; Assist other schedulers in completing urgent scheduling needs, as well as offering assistance to other schedulers during periods of heavy workloads; Assist nursing, providers, and other staff as needed; Participate and orient new staff as needed; Participate and recognize value as team member; Maintain a safe, clean, and attractive work environment.
- Practice customer service skills as follows: Demonstrate courtesy, dignity, professionalism, and sincerity when communicating with patients, as well as review appointments to ensure understanding when needed; Demonstrate effective communication when referring patients to other offices; Demonstrate effective communication with co-workers, nursing, providers and other staff; Practice standards of behavior in accordance with Cone Health policies.
- Print patient information as required by CHCC and CHL as follows: Print schedule/AVS Report for patients to ensure patients are aware of all appointments and to meet meaningful use according to CHL requirements; Review/discuss with patients answering patient questions related to scheduling and working with patients to resolve any issues, concerns, or conflicts.
- Reschedule patient appointments, as follows: Accurately reschedule patient appointments cancelled due to physician out-of-office requests, and inform research nurse if patient is currently on research protocol; Accurately reschedule patient appointments when requested by patient, and inform research nurse if patient is on research protocol, and inform physician/nurse if patient is rescheduling chemotherapy appointment; Accurately reschedule missed appointments or appointments requiring reschedule via POF from providers, nurses or other care team members; Document rescheduled appointment information and method used to contact patient in EMR.
- Schedule patient appointments as follows: Act on electronic POF's (physician order forms) from the scheduling pool in the EMR on a daily basis continually throughout the day; Accurately evaluate and cross check orders on POF with orders, referrals and chemotherapy/supportive therapy care plans in the EMR working directly with providers, nurses, and other care team members to resolve conflicts; Accurately coordinate and schedule multiple appointment combinations with multiple providers using multiple resources within the Medical Oncology Department as ordered on the POR and in the EMR as patients leave the office; Works in collaboration with the chemotherapy/infusion scheduler to accurately coordinate and schedule chemotherapy appointments; Accurately coordinate and schedule appointments from POF's being sent by providers, nurses and other care team members for patients not currently in the office as ordered on the POF, and contacting patients via phone, mail, or EMR as required per department policy; Accurately coordinate and schedule appointment requests with other offices providing care to our patients, such as radiology facilities and other physician offices; Forward urgent orders/requests for radiology and echo appointments to Managed Care Department for insurance verification and authorization; Document appointment information and method used to contact patient in EMR; Take, reroute, return and document numerous telephone calls throughout the day within the required time limits per department expectations/guidelines.
