Job description

MAIN ROLES & RESPONSIBLITIES:

  • Work with hotels to determine key sales needs for the business, provide support as required and implement sales actions to address needs
  • Responsible for handling group inquiries and catering business for selected hotels as assigned
  • Develop existing client relationships to increase production from existing accounts

Reactive Sales Activity

  • Deal with all client inquiries, including contract rates requests (RFPs), group rates and general enquiries across all channels (i.e., Lanyon, Cvent, MeetingBroker, email),
  • Check availability for group enquiries, consult with revenue for pricing, prepare and send out sales proposals in a timely manner (within 24 hours)
  • Issue contract to the client upon confirmation, follow-up for signed return and deposit
  • Meet with client to discuss the final details of group/meeting/event
  • Issue BEO and distribute to relevant hotel team members
  • Input and maintain up-to-date all records of bookings and activities in Delphi for assigned account base and groups being handled

Proactive Sales Activity

  • Follow-up-on sales enquiries promptly and focus on achieving a high level of conversion to definite business
  • Research the market to identify potential companies and business opportunities for the hotel, making the most out of the market intelligence available (i.e. Agency360, Knowland, ZommInfo)
  • Devise and implement a sales action plan against the assigned revenue target, evaluate the success.

JOB DESCRIPTION: Sales Support Manager

Conduct a minimum of twenty sales appointments each week, which can be a combination of sales calls, emails and face-to-face appointments

  • Develop relationships with all levels of client base, from bookers up to senior management
  • Present and represent the hotel in a positive & professional manner at all times, create individual presentations to networking events and trade shows.

Communication & information

  • Attend regular meetings to discuss sales activities underway, successes, challenges and any support required.
  • Demonstrate excellent sales communication with all hotel team members to motivate and encourage sales awareness, developing a positive sales ethos throughout the hotel.
  • Be the “Ambassador” for sales within the hotel, bringing energy and drive to the hotel team and sharing sales activities and successes.
  • Create and maintain solid client relationships through outstanding account management.
  • Work with Finance with regards to any account queries, bill payment or commission inquiries clients may have, ensuring there are no outstanding financial issues
  • Be fully conversant with sales tools (Delphi, Opera, Lanyon, Cvent), ensuring all information related to appointments, client profiles, and activities are up to date on a weekly basis
  • Adhere to company travel policy – have all relevant request forms completed and signed prior to any travel activity
  • Conduct regular competitor analysis, identifying competitor business levels, promotions, and refurbishment plans, communicating outcomes to GM and hotel management team
  • Attend key trade shows & exhibitions where required representing Millennium Hotels

WORK CONDITIONS

Most tasks are performed independently. There is minimal direct supervision. Most tasks are performed indoors. The temperature is moderate and controlled by environmental systems. Sitting occurs approximately 50% of the time. Employees may sit up to 4-6 hours a day. 50% of tasks are performed from a non-seated position. These tasks may include touring the hotel and traveling to and from meetings, client visits, and sales trips. These and other tasks require sitting, standing, walking, lifting, reaching, pushing, pulling, and grasping. The length of time of these tasks may vary from day to day and task to task. Long hours may be required. Exerting up to 20 pounds of force occasionally and/or up to 10 pounds frequently or constantly to lift, carry, push, pull, or otherwise move objects.

QUALIFICATIONS STANDARDS

Education & Experience:

A business-related or hotel management degree is preferred, as well as at least 4 years of sales experience or an equivalent combination of education and experience. Prior experience in a hotel sales role is preferred.
