Nations Roof is seeking an experienced and professional Office Manager to join our Sales and Marketing team.

This position is based in the greater Dallas, TX areaand will be hybrid, with a Monday-Friday schedule, mostly remote but in an office from time to time.

Nations Roof is one of the largest commercial roofing contractors, ranked in the Top 5 Roofing Contractors in the US. Our projects range in scope from large scale new commercial construction, industrial, hospitality, distribution centers, retail centers, office buildings, multifamily and green roofs to large renovations of existing buildings.

Function: Responsible for providing support for executives and account managers of the National Sales Team. Responsibilities span a range of subject matters including bookkeeping and accounting, human resources, customer relationship management, and administrative duties. Processing invoices and managing office budgets; maintaining databases, human resources collecting expense data, and reporting.

  • Payroll: perform the payroll function each week and when special payrolls are added for commissions.
  • Human Resources: Interface with corporate HR. Includes new employee onboarding, preparation, and submission of periodic payroll action forms, maintenance of paid time off logs and management entries as necessary, sundry other tasks that are from time to time required.
  • Accounts Payable:
    1. Entry of accounts payable invoices
    2. Reconciliation of accounts payable sub-ledger with vendor statements.
    3. Oversight of payment schedules for timed invoices.
    4. Monitoring of balances due and preparation of check runs to be submitted to the regional controller for approval and then to the LLC for issuance.
  • Cash receipts:
    1. Entry of all transactions involving cash. Typically, this involves payments of service fees from other departments but can also include occasional miscellaneous cash receipts.
  • Bank Reconciliation:
    1. Review the bank activity and ensure that all cash transaction entries are recorded in Viewpoint by the due date.
  • Commissions:
    1. Assist the regional controller with the analysis of the prior month’s invoice activity and the calculation of commissions due on T&M Service work from the prior month.
    2. Validate Salesforce awarded opportunities as part of the process for calculating commissions on construction and RE service work when due.
    3. Perform other tasks and reporting associated with this process, as assigned. Maintenance and updates Salesforce. Keeping the appropriate team members informed of status.
  • Assist with the maintenance of data in the Salesforce CRM system. Tasks may include getting new National Account Managers (NAM’s) set up, updating NAM assignments, preparation of various reports, and other tasks as assigned.
  • Assist with report(s) preparation
  • Maintain the Prepaid Expense account supporting schedule and prepare reconciliation.
  • Other general ledger account maintenance as assigned by the regional controller.
  • Property tax: prepare/submit reporting and assure timely payment.
  • Credit Card Expense system:
    1. Review and approve expense reports submitted by cardholders
      • Flag questionable charges to the cardholder and superiors
    2. Post imported card transactions
    3. Reconcile the account in accounting software to the statements as due.
    4. Record the payment that’s made by others. Report discrepancies to the regional controller.
    5. Facilitate investigation of questionable charges with card management team.
    6. Assist with new and replacement cards and handle all admin work required for maintenance of the account.
  • Managing admin required for the month-to-month office lease.
  • Other bookkeeping and accounting tasks as assigned.
  • Additional duties related to all aspects of accounting and office management duties as directed by President

Skills/Qualifications:

  • 5 - 7 years minimum of experience in construction and/or Sales Office administration and accounting (prior office management experience preferred)
  • Above average Excel ability that includes creating and maintaining sundry spreadsheets and workbooks. Tables, pivot tables, look ups and indexing skills are preferred.
  • Salesforce experience is a plus
  • Bookkeeping and accounting experience that includes various areas of responsibility (e.g. accounts payable, cash management, general ledger, etc.).
  • Comfort and demonstrated success working in a fast-paced environment where time constraints are important.
  • A specifically designated work from home area.
  • Comfort and demonstrated success in a “work from home” arrangement.
  • Attention to detail.
  • Strong communication skills, written and verbal.
