Job Description
Summary of Position: Sales & Marketing Assistant position will directly support the Director of Sales & Marketing and the Groups Manager in two primary and equally important areas. The first of which is being responsible for the creation of Special Events Traffic Sheets and executing them. The Second is to support the Groups Manager in printing, posting, and securing documents to appropriate departments. All duties must be carried out in a professional, business-like manner, with flexible and strong leadership abilities.
The Sales & Marketing Assistant is a highly qualified person that is experienced in all areas of Group Reservation Management, Front Desk and Restaurant/Event procedures. Will be lead in assisting the Director of Sales and Marketing and Groups Manager with printing documents, disbursement of documents, and executing Special Events from booking date to completion. This position is expected to track and follow through with pertinent information, dates, and contracted details with events. The Assistant to the Groups Manager will work closely with the Sales and Marketing and Groups Manager.
The Sales & Marketing Assistant will work closely with the Director of Sales and Marketing and the Groups Manager and will also participate in support duties related to the promotion of Land’s End as a first-class destination resort and conference facility. The position must epitomize both our internal customer service ethic, and out message to the world “Land’s End-Just the Beginning…”:
Essential Functions as the Assistant to the Director of Sales & Marketing:
1. Create Special Event Traffic Sheets with instructions from, and for review by, the Director of Sales & Marketing.
2. Responsible for printing and disbursing traffic sheets to the appropriate department heads.
3. Assist Director of Sales and Marketing with communication with Special Event contracts.
4. Assist with preparation of in-house promotions.
5. Represents Land’s End in marketing activities locally and in-state such as representative at trade shows & expos as requested or needed.
6. In the absence of the Director of Sales & Marketing, responsible for the day-to-day operations and job duties.
7. Other duties as assigned.
Essential Functions as the Assistant to the Groups Manager:
1. Modify Group Calendar at the direction of the Groups Manager.
2. Print and Distribute assortment of documents to department heads for Group Arrivals at the direction of the Groups Manager.
3. On an as-needed basis, be able to post and transfer payments from Group Food House Accounts to Group City Ledger accounts for auditing and invoicing.
4. On an as-needed basis, assist in modifying rooming lists & room assignments.
5. In the absence of the Groups Manager, responsible for the day-to-day operations and job duties.
6. Other duties as assigned.
Other Functions:
1. Comply with dress code/uniform.
2. Keep information about guests and co-workers confidential.
3. Maintain a neat and orderly office space.
4. Other duties as assigned.
Hours / Schedule:
Part time – with eventual full-time employment by 10/1/24 (could be sooner).
Days – Tuesday, Wednesday, Thursday 9AM – 5PM. Flexibility needed for days / hours.
Required Knowledge, Skills, and Abilities:
1. Must be able to learn and use a variety of hospitality software programs.
2. Flexibility and adaptability required.
3. Effective written and oral communications skills.
4. Proficiency with computer software including Microsoft Word, Excel, Outlook, and PowerPoint.
5. Must respond to emails daily in a timely manner.
6. Ability to multitask and prioritize daily.
7. Must have neat, legible penmanship.
Qualifications: Previous experience in the hospitality industry preferred, and a creative, open-minded personality with commitment to promote Land’s End.
