Job Summary
The Administrative Assistant performs routine clerical and administrative functions such as drafting correspondence, scheduling appointments, ordering supplies, coordinating office events, organizing and maintaining paper and electronic files, or providing information to callers. The position reports to the Sales Manager.
Summary of Essential Job Functions/Responsibilities
- Process timely and accurate orders in accordance with customer needs.
- Maintain ongoing knowledge of plan workload, stock levels, current market, contract process and deliver schedules to provide accurate information to the customers.
- Develop and maintain good working knowledge of end user applications of assigned metal products to maximize sales potential to meet customer needs.
- Coordinate with management to assure optimum lead-time and inventory levels.
- Identify any aged/obsolete inventory with suggested disposition.
- Support sales staff in reporting, presentations, and proposal and bid development.
- Ensure conformance to Corporate mill claim policy.
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
- Support materials management activities such as ordering materials, OOP Create, maintain, and enter information into databases.
- Complete forms in accordance with company procedures.
- Schedule and confirm appointments for clients, customers, or supervisors.
- Make copies of correspondence or other printed material.
- Perform other related duties as assigned.
Minimum Requirements
- Strong computer skills including MS Suite (Outlook, Word, Excel, PowerPoint)
- Experience in a fast-paced environment
Education and/or Experience
- HS Diploma or GED
- Customer service excellence
Other Skills and Abilities
- Must have strong verbal and written communication skills.
- Knowledge of administrative and clerical procedures and systems such as MS office, managing files and records, designing forms, and other office procedures and terminology.
- Communicating effectively verbally or in writing as appropriate for the needs of the audience.

Working Conditions
This position is primarily performed in a professional office environment but may on occasion be required to go into a production/warehouse space. This role routinely uses standard office equipment such as computers, phones, filing cabinets and printers.
