Job Description
We are currently seeking a VIP Assistant who will report to the Director of Public Relations as part of our dynamic team in New York, New York.
ROLE
Assist the VIP team on all thing's celebrity relations. Liaise closely with the Paris HQ office and support as necessary on all initiatives and opportunities. Through VIP efforts, work in tandem with the team to strengthen brand awareness, support key product investments, amplify the brand image, and drive business sales across the Americas region.
MISSION
VIP Relations:
- Assist on the facilitation of all approved Womenswear & Menswear celebrity dressing requests for The Americas - USA, Brazil, Mexico & Canada. Together with VIP Manager, lead email exchange with stylist teams to coordinate product send outs and returns.
- Assemble daily dressing requests that will be submitted to HQ for talent approval.
- Liase with Saint Laurent store teams to pull product for requests when necessary.
- Coordinate all sample loan returns, including generation of shipping labels/invoices, conducting timely follow-up and ensuring a complete return. Oversee VIP sample returns to Paris on daily basis, communicating package inventory and tracking to HQ team.
- Work with FedEx, Worldnet, and IBC to organize and manage shipping for all VIP activities - i.e. dressing requests, giftings, invites, etc.
- Pull, organize, and prep samples for VIP fittings (i.e. divide clothing by look, steam garments, review pieces for damage, oversee repair with tailors, etc.) Be on standby during VIP fittings to pull product from closet/store as necessary. Shadow US VIP team members during fittings when needed, helping ensure VIP has best brand experience possible. Communicate with tailors to understand when alterations are completed and oversee timely delivery of product to VIP.
- Research and monitor rising talent consistently to identify potential future collaborators. Share new talents with US VIP team on rolling basis to be added to monthly talent report. Compile monthly talent report reviewed by US & HQ VIP teams.
- Handle outreach to talent teams for gift shipping instructions. Oversee gift wrapping, packaging, shipping, tracking to VIP, and follow up with VIP teams to ensure talent received the gift. Compile summary report of VIP gifting and social coverage after each gifting period. Manage gifting initiatives surrounding shows (i.e. virtual invites, flower arrangements, etc) as instructed by HQ team. Manage regional gifting log and internal GIFTY platform submissions.
- In charge of monthly VIP department floral deliveries, coordinating between talent teams and florists.
- Correspond with regional florists to order floral arrangements, making sure all florists closely follow the brand guidelines for arrangements.
- Compile fashion show / event face books for executive team when requested.
- Benchmark competitors consistently to determine their strategies surrounding product placements, fashion show activations, and dressing moments to help inspire innovative ideas.
- Monitor image wire sites for VIPs photographed with product on a daily basis.
- Bring VIP activation ideas to the US team to discuss and review in a collaborative nature.
- Partner closely with PR team to share use of the US PR sample set housed in New York.
Assistant to Worldwide VIP Director & Americas Communications Director:
- Assist Worldwide VIP Director & Americas Communication Director, Emmanuel Tomasini, on all administrative needs, including but not limited to document preparations, meeting scheduling and calendar management, travel, expenses and ad hoc tasks.
Departmental Support:
- Together with PR Assistant, support on all administrative responsibilities for the Communications Department.
- Maintain Fashion GPS database and ensure all product used for VIP needs is accurately accounted for in the system to minimize loss. Handle uploading any VIP samples into GPS inventory.
- Ensure the showroom and closet are in perfect condition on a daily basis. All product needs to be handled with the utmost care.
- Partner with PR Assistant in managing all components of the Communications Internship program, including talent recruitment, scheduling and time management, and overseeing all intern projects, activities and workflow for VIP needs.
- Assist with any additional departmental needs which will include: coordination of flower arrangements, calendar support, meeting scheduling, answering calls on behalf of the department, etc.
- Be able to work independently and proactively in office when team is traveling.
A reasonable estimate of the base compensation range for this position is $25/hr. with commission eligibility.
PROFILE
- Bachelor's Degree.
- 1-2 years of experience in PR or Styling; exposure to VIP/Influencers preferred.
- High availability and responsiveness - 5 days in office.
- Commitment to work in a fast-paced environment with a quick and efficient approach to workload; ability to multi-task, prioritize, adapt, and pivot on short notice with determination, enthusiasm, and high energy.
- Strong interpersonal, written, and oral communication skills.
- Strong organizational skills and ability to problem-solve, strong time management.
- Impeccable attention to detail with a drive for results.
- Agile schedule and ability to work on weekends or odd hours as necessary depending on VIP needs and event calendar; willingness to travel as needed.
- Ability to work within a team environment, collaborative approach.
- Willingness to handle all components of execution with a committed can-do attitude; no-task-too-small outlook.
- Well versed in Microsoft Office, Excel, Power Point, Word; knowledge of Fashion GPS is a plus.
- Previous work experience in luxury fashion communications or celebrity relations a plus.
