Job Overview:
We are seeking a detail-oriented and customer-focused Reservation Agent to join our team. As a Reservation Agent, you will be responsible for:
Reservation and Scheduling: This department is responsible for receiving and processing all vacation home reservations. This includes receiving reservation requests, checking property availability, confirming reservations, and managing the occupancy calendar.
Customer Service: Reservation agents are the primary communication line between guests and the vacation home rental company. They respond to customer inquiries, provide information about properties, assist in selecting the best accommodation option, and resolve any issues or concerns guests may have before, during, and after their stay.
Inventory Management: The reservation department is responsible for ensuring that all information about properties, including availability, rates, and amenities, is up-to-date and accurate on all booking channels, such as the company website, online booking platforms, and property management systems.
Payment Processing: Reservation agents process reservation payments, ensuring that transactions are secure and trouble-free. They also manage payment policies, such as deposits and cancellation policies.
Check-in and Check-out Coordination: The reservation department often coordinates the details of guest check-in and check-out, providing information on how to reach the property, check-in and check-out times, and facilitating the delivery of keys or access codes.
Duties:
- Answer incoming calls and respond to customer inquiries in a professional and courteous manner
- Assist customers with making reservations, modifications, and cancellations
- Provide accurate information about our services, rates, and availability
- Maintain an organized system for managing reservations and customer data
- Collaborate with other team members to ensure smooth operations and guest satisfaction
- Handle customer complaints or issues with patience and empathy, striving to find suitable resolutions
- Perform administrative tasks such as data entry, filing, and maintaining records
- Utilize phone etiquette skills to provide excellent customer service at all times
Skills:
- Fluent in PORTUGUESE and ENGLISH (written and verbal)
- Strong phone etiquette skills to communicate effectively with customers
- Proficient in administrative tasks such as maintaining records and organizing documents
- Familiarity with front desk operations and inventory control procedures
- Accurate data entry skills to input customer information into the system
- Ability to negotiate rates and terms with customers when necessary
- Proficiency in Ofiice an phone Apps for creating documents and reports
- Previous experience in outside sales is a plus
