Summary of Role:

The Coordinator Specialist role must exhibit genuine interest in residents and show patience and understanding while working with team members, residents, families and visitors. This position is responsible for supporting communities with vacant Assisted Living Coordinator (AL), Reflections Coordinator (RC) and Life Enrichment Coordinator (LEC) positions, in multiple communities and locations.

The Coordinator Specialist will manage all facets of service and activities, addressing resident needs in the area in which they are filling in for: Assisted Living, Memory Care or Life Enrichment (Activities).

When acting as a Life Enrichment coordinator, the Coordinator Specialist will plan, coordinate, facilitate and direct the resident LE activity programs, utilizing the community’s resources.

When acting as the Assisted Living Coordinator or Reflections Coordinator, the Coordinator Specialist will monitor resident care needs, alert the Wellness Director when the resident has a change in condition, address resident and family concerns, and act as a liaison with community providers.

Duties and Responsibilities of the Position:

  • Organize programs for group and individual activities based on each resident’s individualized needs as identified in their health-care plans, while maintaining a balance of recreational activities including physical, social, religious, diversional, intellectual, and creative.
  • Engage residents in activities according to each resident’s activity interest, needs, and potential.
  • Coordinate scheduled activities with other departments.
  • Communicate Life Enrichment activity programs to residents, resident’s families, volunteers, and community staff.
  • Practice standard techniques used in providing personal care services for residents, caring for equipment and supplies, as well as understanding basic universal precautions to avoid infection of residents, self-and/or contamination of equipment and supplies.
  • Manage the staffing needs of the Assisted Living, Memory Care and Life Enrichment departments, by interviewing, hiring, training, supervising, and scheduling of team members.
  • Assist the Business Office Manager in the completion of new hire paperwork, tracking attendance logs, monitoring time sheets, performing employee evaluations per company policy, and staying within the required budget for staffing.
  • Identify staff educational needs including scheduling and coordinating new hire orientation training, weekly mini-modules, and coordinating all mandatory and required in-service meetings for house staff.
  • Process all staff terminations in collaboration with the Executive Director, Wellness Director, and Business Office Manager.
  • Report symptoms and changes in condition of residents to the Wellness Director.
  • Maintain accurate records reflecting the resident’s conditions, document in the Daily Log, and reporting all changes to the Wellness Director.
  • Ensure the resident care and activities is being provided by weekly monitoring of all resident’s suites and daily walk-through of the departments.
  • Ensure all infection control guidelines are met and monitored, and that gloves and protective supplies are available for staff use for resident care.
  • On call duties for staffing and scheduling and providing coverage as a care manager or Life Enrichment associate when needed.
  • Possess the ability to problem solve effectively and manage various situations according to the MorningStar standards and guidelines.
  • Prepare and administer medications according to procedure.
  • Work with the Wellness Director to develop, maintain, and update resident negotiated service plans and assessments.
  • Complete assignment sheets at time of resident move-in, at change of condition, and every 6 months in collaboration with other departments.
  • Schedule and conduct change of condition assessments as well as bi-annual negotiated service plan meetings with residents, families, Executive Director, and Wellness Director.
  • Maintain ongoing communication with the resident and family members regarding the resident’s care needs and assist with counseling of residents and families as needed.
  • Responsible for regular resident suite checks, and that resident emergency alert systems are answered promptly.
  • Report incidents of suspected resident abuse immediately and complete incident reports within 24 hours.
  • Complete Incident Tracker monthly; work with the Wellness Director on the addendum for interventions and reductions in incidents and review at the QA/safety committee meeting monthly.
  • Coordinate state required training with the Wellness Director and Executive Director, to ensure regulatory requirements.
  • Assure resident’s weights and vital signs are taken correctly and recorded at time of move-in, return from hospital or rehab, and monthly.
  • Manage the Incontinence Program including ordering of supplies and distribution of them to residents.
  • Direct care givers to assist residents to prescribed activities. For those residents who may be physically unable to attend, direct care staff to initiate engagement and provide additional one-on-one time with residents.
  • Assist in conducting tours for prospective residents and family members when needed.
  • Market the MorningStar community while conducting assessments at hospitals, skilled nursing homes, or rehabilitation centers.
  • Responsible for monitoring employee hours and staffing patterns to minimize overtime and ensure the assisted living department remains within the projected budget.

Job Qualifications:

  • Successful completion of State approved Medication Administration training and a current first aid certificate as required.
  • Minimum of 4 years of health-related experience in long-term care or assisted living supervisory or management experience is preferred.
  • Experience: Minimum of 6 months required in Senior Living Activities, two or more years preferred.
  • Must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions, procurement manuals, etc.
  • Strong communication skills.
  • Ability to provide maximum resident-care services within limits defined by delegated tasks.
