Job Title: Recruitment Coordinator/Administrative Assistant (5-8)
Supervisor: Operations Manager
Start Date/Hours: July 1 - June 30; 8:00am-5:00pm, Monday through Friday
Description: The Recruitment Coordinator’s role is to oversee the recruitment of new students and ensure the efficient operation of Codman Academy Charter Public School. The role requires performing a variety of tasks aimed at managing existing administrative systems, while actively working to recruit new students. S/he is expected to actively advertise the school to the community and prospective students/families. The role is an important link in the public relations and communication processes with families and the community. The Recruitment Coordinator must be a proactive person that can work as a team member, be supportive and responsible to our students, families and staff, and establish fruitful relationships with external organizations and community partners.
Responsibilities include (but not limited to):
Recruitment & Admissions
- Advertise and hold information sessions for prospective students and families; create and disseminate student recruitment mailings
- Market Codman Academy to middle schools and other partnership organizations
- Manage existing Codman social media presence on Facebook, Instagram, Twitter and other relevant platforms
- Collect, organize and maintain student applications & records
- Assist in development and implementation of lottery system
- Create and mail enrollment packets to newly admitted students and actively communicate with families to ensure enrollment quotas are met
- Request and collect registration documents from enrolled families
- Work with leadership to ensure adequate student enrollment in order to meet annual budget
Office & Records Management
- Welcome visitors and maintain regular communication with families
- Oversee student sign-in and documentation for late arrivals and early dismissals
- Serve as school attendance coordinator; enter daily attendance and update student records in PowerSchool; pick up and sort mail
- Supervise all mailings to families (including collecting and copying all materials)
- Ensure all filing is complete
- Monitor and replenish school office and classroom supplies; cultivate relationships with external vendors and process invoices for payment
- Serve as hub for incoming phone calls; ensure that phones are answered at all times
- Serve as school Registrar; support enrollment and student records; process student transfers, request for transcripts/records, review of new and updated free & reduced lunch form
- Manage student Charlie cards; order, re-order and deactivate as needed
Student Activities
- Periodically participate in and assist with implementation of fieldwork days at the discretion of the grade teams
- Periodically attend Community Circle meetings
Required/Preferred Qualifications and Skills
- Bachelor’s degree preferred
- Handle confidential information with complete integrity
- Ability to work effectively in a fast past environment
- Strong interpersonal skills and ability to work with others
- Strong attention to detail
- Excellent written communication and computer skills (Google Suites and MS Office, in particular)
