Nature of Work
Essential Duties
2. Obtains file information for Department personnel, authorized outside agencies and private citizens.
3. Reproduces copies of reports and other materials.
4. Disseminate police records for proper follow-up action.
5. Ensure all hard copy documents are scanned into the Records Management System.
6. Maintains identification records consisting of arrest cards, complaints, criminal history, personal description data, etc.
7. Provides information for telephone inquiries or refers the inquiry to the proper authority.
8. Provides compilations, tabulations and statistical information to employees and members of the Department and outside governmental agencies.
9. Provide window/counter service while maintaining the integrity of cash collected from prisoner bonds, ticket payments, dog licenses and other sources; maintain cash drawer.
10. Maintains and issues adequate supplies of Department forms and other office supplies.
11. Types correspondence and other materials as required.
12. Registers bicycles and issues licenses.
13. Other tasks as assigned by the Records Supervisor.
14. Interacts with the public in a professional manner.
15. Ensures the city court docket is posted in a timely manner.
16. Ensures all fatal accidents are completed and sent to IDOT within a timely manner
17. Maintenance of administrative vehicle tow reports and the related duties associated with collecting fees to release towed vehicles.
18. Reviews and redacts information from traffic accident reports.
19. Responsible for ensure bond money is delivered to the circuit clerk’s office.
20. Retrieval and maintenance of offense reports in current records management system.
21. Receives and corrects issues from the CHRI Event Error Log from the Illinois State Police Bureau of Identification.
22. Gathers all information pertinent to expungements forwards the information to the city attorney for review and redacts information from the system as needed.
23. Serve as a liaison with agencies using multi-jurisdictional records system.
24. Assist with Freedom of Information Act (FOIA) requests and the redaction of information and conduct background checks.
Other Duties: Performs other duties that are related to the overall operation of the Records Section/Administrative Bureau.
Work Environment and Physical Demands
Work Environment: Work is performed primarily in an office setting and may require the operation of a vehicle during the course of the work day to conduct business or attend meetings in a variety of weather conditions and in emergency situations.
Physical Demands: Office work is usually sedentary with occasional walking, reaching, bending, lifting and carrying objects under 25 pounds, and requires the ability to sit for extended periods of time. Work requires the ability to sit for extended periods of time, to operate personal computers and to perceive and/or discriminate colors, sounds, depth and texture.
Knowledge, Abilities and Skills: Basic knowledge of business English, spelling, arithmetic and grammar; thorough knowledge of modern office practices, procedures, systems and equipment; working knowledge of the Freedom of Information Act; knowledge of general City and Department operations and organization; knowledge of secretarial practices and procedures; ability to make responsible decisions in accordance with established policies and procedures; ability to establish and maintain effective working relationships with others; skill in the operation of a computerized records management system.
