Responsibilities:
Offer a welcoming atmosphere to visitors with a courteous and professional demeanor.
Efficiently manage incoming phone calls, accurately record messages, and respond to queries.
Conduct standard clerical tasks, including photocopying, faxing, mailing, and file organization.
Monitor and replenish office supplies, placing orders as necessary.
Coordinate calendars, schedule appointments, and keep multiple staff schedules organized.
Support with precise data entry and manage order processing as needed.
Organize meeting logistics and reserve conference rooms.
Handle the distribution and dispatch of mail and parcels.
Provide comprehensive administrative aid to team members upon request.
Qualifications:
Previous receptionist or secretarial experience is favored.
Fluency in Korean or Spanish is highly preferred and will be a key asset in this role.
Advanced proficiency in Microsoft Excel is essential, along with competence in Word and PowerPoint.
Proficiency in Google Workspace tools, including Gmail, Docs, and Sheets.
Strong attention to detail in data entry tasks.
Experienced in calendar management and appointment scheduling.
Well-versed in office administration and basic accounting principles.
Outstanding customer service capabilities with professional interaction skills.
Knowledge of medical office protocols is an added bonus.
Discretion in handling confidential material is mandatory.
