SUMMARY: Under direct supervision, and according to established policies and procedures, the Receptionist provides support in the areas of related to receiving calls, clients, vendors and deliveries, and directing them to the appropriate individuals. Maintains contact with attorneys, staff and clients and observes confidentiality of clients and firm matters maintaining employee kitchens, supply rooms, general facilities, and orders for the office.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
1. Front desk:
- Operates a multi-line console and relays incoming, outgoing and internal calls.
- Provides concierge level service to B&T guests, personnel and visitors, including greeting clients as they arrive, offering beverages and associated services.
- Checks mail daily, mails documents out and receives packages.
2 Facilities:
- Loads/unloads dishwasher in employee pantries and catering kitchen.
- Monitors and replenishes coffee and beverage supply in employee pantries.
- Maintains office appearance in all common areas including pantries, kitchen, break area, copy room, supply room and reception area.
- Stocks and maintains inventory of office supplies in copy centers, conference rooms and visitor offices.
- Cleans visitor offices and conference rooms after each use.
- Provides courier/errand services upon request.
- Cleans work spaces of departed employees (i.e., remove supplies, etc.) and prepares for new hires.
2. Catering, events and conference rooms:
- Schedules meetings and coordinates logistics, including food/beverage and IT services.
- Creates and maintains diverse vendor list for catering, services and supplies.
- Maintains neatness of conference rooms
3. Miscellaneous:
- Completes special projects as needed.
- Occasional overtime to support after-hours receptions/events.
4. Other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Represents the firm in a professional manner with highest levels of customer service at all times with a focus on firm goodwill.
- Strong attention to detail and ability to follow verbal and written instructions and checklists.
- High School Diploma or GED Certification with two years’ prior experience in an office services, food service or facilities environment.
- Minimum two years of office experience; law firm experience preferred.
- Experience using scheduling
- Ability to prioritize requests and ensure deadlines are met.

WORKING CONDITIONS:
