Summary of essential job functions
Primary responsibilities:
- Answering and routing incoming telephone calls
- Greet guests with a friendly and professional demeanor
- Coordinate the flow of visitors/guests through the reception area.
- Maintain reception area in neat and tidy area
Manage mail, delivery packages, faxes and other correspondences coming to or leaving the office.
- Maintain adequate levels of office supplies
- Maintain office copier/fax/scanners and phone system
- Minor maintenance/programming as needed
- Schedule maintenance (routine service and repairs)
- Primary contact with outside service providers
- Develop & maintain business associate lists and company phone lists
- Ensure receipt of insurance certificates by utilizing tracking software
- Assist with organization, maintenance and creation of company filing systems
- Ensure office is properly and securely closed at the end of regular business hours each day
- Assist with organization, maintenance and creation of company contact lists
- Accurately transcribe notes and dictation into formal documents or letters.
Secondary responsibilities:
- Take the lead for Amenity Center phone calls and send potential clients any applicable information about the Amenity Center.
- Set up meeting and conference rooms for scheduled appointments.
- Check all rooms at the end of each day to ensure they are organized and ready for the following day.
Additional responsibilities:
- Complete other special projects for staff as time permits
- Other projects as assigned
The successful candidate will possess excellent customer service skills both in person and over phone as well as strong communication skills with the ability to communicate clearly and professionally in written and verbal form. The candidate will also have strong organizational skills, ability to meet deadlines, and proficiency of Microsoft Word, Excel, PowerPoint, and Outlook.
