Title: Part Time Receptionist/Administrative Assistant | Twin Falls Office
Reports to: HR Manager
Experience: 1+ years administrative office experience
The Receptionist/Administrative Assistant will be responsible for providing exceptional customer service to both external and internal clients through the efficient processing of calls and handling of information. Representing Colliers as the first point of contact, the ideal candidate will ensure an excellent first impression to all clients through effective management of the front desk and a customer service focus approach at all times. The Receptionist/Administrative Assistant will be responsible for supporting key administration tasks, and other duties as assigned.
Key Responsibilities
- Appropriately represents our company while answering and routing calls, conveying enthusiasm, energy and respect to both internal and external callers
- Greeting all visitors in a friendly, confident, and pleasant manner
- Calendar/conference room management
- Provide base maintenance of office equipment, which includes telephones, copier, postage machine and computers
- Gathering and distributing of daily mail, binding packages, overnight mail, FedEx preparation, courier arrangements, preparing packages for mailing
- Manages and monitors the inventory of office supplies
- Responsible for keeping front reception area neat and clean
- Set up for and clean up after meetings in the conference rooms
- Other duties as assigned
Requirements
The successful candidate will possess the following required degrees, certificates or competencies:
Associates Degree preferred for promote-ability purposes; or equivalent years of training and experience; 1+ years in a business office work environment preferred
- Must have high level of interpersonal skills to handle a variety of situations. Position requires demonstrated poise, tact and diplomacy with brokers and clients
- Must be accountable – be able to show up to work on a daily basis
- Shows dedication by demonstrating respect, trust, honesty, integrity and ethical behavior
- Must adhere to company policies and procedures, takes responsibility for actions
- Must be able to interact and communicate with individuals at all levels of the organization
- Must have experience with MS Office applications
- Must be able to sit at the front desk for four (4) hours during each day, work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands professionally
