Purpose:
To courteously operate the phone system, routing calls or messages to appropriate personnel in an efficient manner. Greets visitors and perform administrative support duties as requested.
JOB DUTIES:
- Courteously operate the telephone system, route calls promptly and accurately record messages, as needed.
- Greet visitors courteously, ensure they sign in and out of building, determine their needs and direct to the proper person or department.
- Assist public with questions such as general information, directions to the office, expected time personnel would return to the office, etc.
- Assist Human Resources Team and other departments with various administrative duties including data entry, scanning, invoice payments, preparing memos and mailing packets, and projects.
- Receives mail and deliveries and notifies appropriate individual or department.
- Maintain corporate phone list.
- Prepare and distribute balloons/treats for the length of service recognition program.
- Manage and track the rental car reservation program.
- Assist in the planning and set up of meetings, including room reservations, meal/snack requests, meeting table and chair arrangement, and clean up as requested.
- Ensure reception area and desk is tidy.
- Manage Years of Service program, on a quarterly basis for Companies as requested.
- Manage ticket distribution for special events.
- Provide support and backup for the Office Coordinator as needed.
- Other duties as assigned.
JOB REQUIREMENTS:
- Knowledge of general office practices and business English.
- Knowledge of organizational methods and the ability to manage multiple tasks simultaneously.
- Knowledge and ability to communicate effectively with office personnel and incoming visitors.
- Knowledge of various software packages such as Microsoft Word and Excel.
- Ability to respond to a high volume of incoming calls and route them in a professional and courteous manner.
- Ability to receive/screen office visitors and telephone calls.
- Ability to maintain high level of confidentiality related to all duties and responsibilities
- Ability to type 30 wpm.
- Ability to express oneself clearly and effectively in both oral and written form.
- Ability to learn each LGI company’s point of contact to route calls appropriately.
- Ability to manage and maintain confidential information.
- Ability to perform basic mathematical calculations.
- Ability to operate all office equipment required to accomplish job duties such as computers, fax machines, copiers, calculators, etc.
- Ability to remain calm and professional during peak periods of activity.
- Ability to proofread and edit documents as needed.
- Ability to assist in other job related areas as required.
- Ability to work daily and extended hours as needed.
JOB QUALIFICATIONS:
Education: High School Diploma or G.E.D. required. Associates degree preferred.
Experience: One year receptionist experience with a multi-line phone or administrative assistant experience required. Experience with a HRIS system preferred.
