JOB SUMMARY
This position is responsible for greeting visitors to the utilities department, handling incoming calls, answering questions, collecting information and/or directing calls to appropriate departments or individuals within the department and assisting with clerical duties. Reports to the Utility Director.
ESSENTIAL JOB FUNCTIONS
  • Manages the reception desk; answers incoming calls on a multi-line telephone system and greet utilities department visitors and direct calls and visitors to appropriate areas, individuals or voice mail.
  • Directs visitors to the appropriate offices and individuals within the building and alerting staff when necessary, regarding visitors. Answers telephone and give information to callers, takes messages, or transfers calls to appropriate individuals.
  • Processes incoming/outgoing mail and packages; picks up and delivers mail; sorts, organizes, opens, and/or distributes incoming mail; signs for incoming mail/packages and delivers to appropriate personnel; processes outgoing mail through postage machine; assists with packaging and mailing of outgoing mail/packages, which may include completing shipping labels and contacting shipping/courier services for pickup of packages.
  • Completes forms in accordance with organizational procedures.
  • Provides excellent customer service for both internal and external customers.
  • Provides notary services to visitors of the Utilities department, as needed.
  • Assist with projects, programs and events.
  • Operates office equipment such as multi-line telephone systems, personal computers, reproduction and scanning equipment, calculators, and facsimile machines. Types letters, labels, and narrative, numerical, or graphic information to facilitate the processing or documentation of information; files documents and other material, and/or enters/scans numerical or graphic information, into existing spreadsheets, filing and database systems, as needed.
  • Performs other related duties as assigned.

QUALIFICATIONS
Education and Experience:
High school diploma or GED (or equivalent); supplemented by one (1) year of related experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Licenses or Certifications:
Valid State of Georgia driver's license; GA Notary Public
Special Requirements:
Requires an acceptable general background check to include a local and state criminal history check, and a valid driver's license with an acceptable driving record.
Requires satisfactory results from a pre-employment alcohol and controlled substance testing.
Knowledge, Skills and Abilities:
  • Knowledge of business English, arithmetic, spelling and grammar and knowledge of administrative office procedures, practices, systems and equipment
  • Knowledge of policies and procedures of City and Department.
  • Ability to build and maintain positive working relationships with co-workers, other City employees and the public using principles of excellent customer service.
  • skill in public and employee relations and in maintaining effective working relationships with other employees, officials, agencies, vendors and the public.
  • Skill in operating modern office equipment, including computers and supporting word processing and Excel spreadsheet applications.
  • skill in multitasking and composing clear, concise and informative correspondence; using Microsoft Outlook, Word and Excel software and in organizing, completing and reporting on projects.
  • Ability to exchange information for the purpose of clarifying details within well-established policies, procedures and standards.
  • Ability to maintain absolute confidentiality of the materials and situations encountered on the job.
  • Ability to exercise judgment, decisiveness and creativity in situations involving a variety of generally pre-defined duties which are often characterized by frequent change.

PHYSICAL DEMANDS
The work is sedentary work which requires exerting up to 10 pounds of force. Work requires require the ability to exert light physical effort which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight. Tasks may involve extended periods of time at a keyboard or work station. Some tasks require the ability to perceive and discriminate visual cues or signals. Some tasks require the ability to communicate orally.
WORK ENVIRONMENT
Work is performed in an office environment. Essential functions are regularly performed without exposure to adverse environmental conditions.
