PACE Supply is seeking a Receptionist to join our team and contribute to our dynamic workplace. As the Receptionist in our corporate office, you will play a key role in providing exceptional customer service and administrative support to guests and employees. You will serve as the first point of contact for visitors and callers, directing inquiries to the appropriate department or individual.
Customer Service & Administration
- Answers incoming telephone calls and responds to emails by determining the purpose and directing them to the appropriate person or department.
- Greet and welcome guests as soon as they arrive at the corporate office.
- Direct visitors to the appropriate person and corporate office.
- Provide basic and accurate information in-person and via phone/email.
- Maintain a positive work atmosphere by acting and communicating in a cooperative manner with customers, co-workers, and managers.
Administrative Support
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures).
- Maintain corporate office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Manage the mail room by ordering corporate office supplies and keep inventory of stock.
- Keep updated records of corporate office expenses and costs.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
- Receive, sort, and distribute daily mail/deliveries. Retrieve mail from the mailbox outside, sort incoming mail from the PO Box, and deliver to the departments.
- Coordinate and order meals for Corporate Office meetings.
- Ensure upkeep of conference rooms, and other common areas.
- Manage the mailroom: Order and restock corporate office supplies.
- Manage FedEx shipments, send out FedEx packages.
- High school diploma or equivalent.
- Minimum 1 year of Receptionist or Administrative Experience in a Corporate Setting.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent communication skills, both verbal and written, with the ability to interact professionally with team members, clients, and vendors. Ability to read and understand English for business necessity.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Enthusiastic and motivated attitude.
- Experience in office procedures, including typing and filing.
- Typing speed of at least 40 words per minute.
- Previous experience in a receptionist or customer service role preferred.
