The Receptionist is responsible for answering CCS’ multi-line telephone system and accurately taking/relaying messages. The successful candidate has the ability to learn and work on assigned data entry, mail processing, photocopying, filing, and other general office tasks, as assigned. They are also responsible for managing facility tickets, projects and vendors.
ESSENTIAL FUNCTIONS:
- Answers incoming telephone lines and directs calls to appropriate departments and personnel; takes timely and accurate messages, relaying information to appropriate personnel.
- Uses CCS’ intercom system to page various personnel in a clear, audible speaking voice.
- Greets and screens all visitors, clients and vendors while adhering to CCS’ security policies and practices.
- Assigns temporary and visitor security badges.
- Prepares, maintains, and tracks overnight envelopes and labels.
- Manages facility needs, tickets, projects and vendor / client visits; works directly with Director of Training, Quality and Business Support for this portion of the job.
- Manages multiple priorities and tasks based on daily assigned work.
- Assists with data entry and manual dialing, as needed (cross-trained).
- Demonstrates respect and regard for all clients, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.
- Promotes effective working relationships with the team and other departments to help achieve company goals and objectives.
- Maintains work area and equipment in conditions as required by department standards.
- Operates assigned equipment and performs all activities in a safe manner.
QUALIFICATIONS:
- Excellent verbal communications skills.
- Notary Public registered, preferred.
- Ability to multi-task while answering phone lines
- Ability to read, write and comprehend written and verbal information for accurate message-taking.
- Alpha & Numeric data entry (40 wpm typing with high level of accuracy).
- Knowledge of MS Outlook and Word.
- Ability to maintain a predictable and consistent full-time work schedule.
EDUCATION REQUIREMENTS:
- High school diploma or equivalent (some college preferred)
