Receptionist
Primary Responsibility
To deliver exceptional customer service by managing a multi-line phone system, directing calls, and taking accurate messages. Making sure to present a professional yet friendly demeanor to set the tone for a positive and engaging experience for everyone who walks through the doors.
Essential Functions & Responsibilities
- Greet visitors as they enter and contact the appropriate person in the agency.
- Operate the switchboard, screening calls to direct them to the proper person.
- Serve as a message center for agency personnel who are out of the office or away from their desk.
- Keep staff log of who is in/out and who is backing up to route calls to appropriate person
- Manage reservation requests for both boardrooms
- Process document download in Agency Management System.
- Perform miscellaneous typing functions.
- Manage incoming faxes and route them to appropriate staff.
- Handle Morning mail sorting & distribution to various departments.
- Accept mail deliveries. Keep the log in sheet for all deliveries and notify staff to pick up delivery.
- Makes needed announcements over the intercom system.
- Communicates with staff and building/facility issues.
- Assist in putting together Monthly Client Marketing Folders.
- Manage our HHC Policy Inbox and route emails to correct staff.
- Assist the General Office Assistant with special projects as needed.
- Other duties as assigned.
Additional Functions & Responsibilities
- Provide backup and support for General Office Assistant
- Seating Chart updates.
- Coordinating Employee appreciation events-including flyers, food, etc.
Required Qualifications
- High school diploma or equivalent.
- Excellent phone personality and must possess people skills.
- Professional demeanor.
- Conversant with various types of insurance provided by the agency.
Preferred Qualifications
- Previous experience handling a multi-line phone system.
