We're looking for a professional, outgoing, self-motivated, Real Estate Office - Transaction Coordinator to join our dynamic team! Your primary job will be to assist our Agents in providing Transaction Coordinator services in our newly developing Transaction Coordinator Department. This position also requires basic office administration such as greeting agents/clients and handling incoming phone inquiries and emails. Responsibilities: • Market and promote our Transaction Coordinator Services to ensure all Agents are aware of our new service. • Manage buyer-seller transactions from the initial purchase agreement to closing. • Collect all necessary signatures on listing agreements, disclosures, and other required documents. • Submit all essential documentation to the office broker for file compliance using our advanced technology. • Enter all relevant information into the database and transaction management systems accurately. • Validate the presence of all required signatures, initials, and addenda on the contract. • Complete commission disbursement forms and upload documents promptly. • Provide deadline reminders and communicate with the escrow company and other agents throughout the transaction. • Keep agents updated on all communications and send weekly transaction status emails. • Perform various backup duties for the Transaction Department when necessary. • Welcome Agents and Clients to the office and handle incoming phone calls. • Ensure office supplies are stocked, replace copy machine ink, and replenish coffee supplies regularly. Qualifications: • Minimum of 2 years of experience as a Transaction Coordinator is a must. • Familiarity with RPA is considered an advantage. • Proficiency in learning new software programs when necessary, particularly skilled in using platforms like Real Smart Broker, Real Smart Agent, Microsoft Office (Outlook, Word, Excel), and Adobe programs (Adobe Acrobat). • Strong ability to multitask, prioritize tasks, and adapt to changes in contracts while managing deadlines effectively. • Exceptional organizational skills with keen attention to detail. • Excellent written and verbal communication skills with a focus on grammar. • Outstanding customer service and interpersonal skills to establish relationships with various personalities. • Capable of working independently with minimal supervision or as part of a team. • Self-motivated and proactive in initiating work tasks. • Skilled in creative problem-solving. • Maintains a friendly, professional, and composed demeanor. • Willingness to train in Carlsbad office and relocate to Rancho Bernardo office. Compensation: $24 hourly+commission
