Job purpose
The Q. A. Administrative Assistant is responsible for the maintenance of the Quality Management System and Welding and NDT program associated files and records. The Administrative Assistant manages quality control systems consistent with established standards, customer specifications and production goals. The position oversees the day to day operations and administrative functions of the Quality Assurance Manager and Department.

Duties and responsibilities

- Ensure a high level of internal and external customer service relationships.
- Assist Q. A. Manager and Q.A. Inspectors with research and data collection.
- Maintain and update department as a well as company procedures.
- Coordinate and track training requirements and reports.
- Operate standard office equipment/scan and fax documents.
- Prepare correspondence, memoranda, reports, minutes, and proceeds of meetings.

Responsibility
This position manages all items listed above as well as Welding and NDT qualification and training records. Work collaboratively with others while maintain tact and integrity.
Work Environment
While performing the duties of this job, the employee may be exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the shipyard work environment can be loud.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This is largely a sedentary role; however, some walking is required. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The position may require lifting, pushing and pulling objects that are 20 pounds or heavier, and walking aboard and around vessels under repair.
Position Type/ Expected Hours of Work
This is a full-time position. Days or Nights and hours of work are Monday through Friday. This position rarely requires long hours and/or weekend work.
Travel
Travel is primarily local during the business day..
Required Education and Experience
- B.S. degree or equivalent experience/education combination.
- Supervisory/management experience.
- Thorough knowledge of MS Office and Excel.
Preferred Education or Experience
Education based on requirements that are job-related and consistent with the business necessity.
- Experience in a Shipyard/ Military setting.
- College level administrative classes a plus.
