Job Description
Position Summary
The Purchasing Assistant is responsible for supporting procurement by aiding in all steps of the procurement process to help ensure on-time delivery of materials and supplies. This role coordinates the initiation of procurement requests, tracks requests through all phases of the procurement chain, facilitates open communication, provides customer service, and supplies input, tracking and feedback to other procurement department members, vendors, and internal and external customers. The Purchasing Assistant will report to the Procurement Manager.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Receive and review incoming purchase requisitions for approval and accuracy
- Accurately enter purchase requisitions and purchase orders into the ERP system
- Execute procurement transactions of routine consumable items
- Initiate routine transfer orders between warehouses or distribution centers
- Track and communicate any delays, supply disruptions, or other issues to relevant team members
- Collaborate with other departments to reconcile receiving reports, invoices, inventories, and purchase orders to resolve discrepancies
- Maintain Vendor Maintained Inventory (VMI) processes
- Utilize strategies which drive strategic Key Performance Indicators (KPI) benchmarks
- Provide reports on KPI metrics for monitoring and analysis
Minimum Qualifications (Knowledge, Skills, and Abilities)
- 2-year academic degree, in supply chain, business, or relevant field (preferred)
- 1-3 years of purchasing experience (preferred)
- Experience with ERP systems (preferred)
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite and/or related software
- Ability to compile information and make decisions
- Excellent organizational skills and attention to detail
- Ability to manage competing priorities in fast paced environments
