Position Summary:
We are seeking a skilled Proposal Coordinator with expertise in SharePoint administration to play a central role in orchestrating the end-to-end proposal development process, from comprehensive RFP analysis to the final submission. This person will serve as the linchpin, ensuring the alignment of various stakeholders and resources for delivering timely, accurate, and compliant responses to solicitations.
Key Responsibilities:
- RFP Analysis:
- Examine RFPs thoroughly, dissecting submission requirements, timelines, and critical elements.
- Proposal Development Plan:
- Establish and maintain a dynamic proposal calendar, delineating key milestones, responsibilities, and deadlines to facilitate punctual submissions.
- Team Collaboration:
- Coordinate with cross-functional teams, including writers, subject matter experts, finance, and legal teams, to compile essential proposal components.
- Document Management:
- Organize, track, and oversee multiple proposal documents, ensuring version control and precision.
- Compliance Checks:
- Regularly review proposal components to ensure strict adherence to RFP requirements, completeness, and overall alignment.
- Feedback Incorporation:
- Facilitate efficient review cycles, collecting feedback from stakeholders, and ensuring its timely and judicious incorporation.
- Submission:
- Supervise the final assembly of proposals, ensuring a polished and professional presentation. Manage the submission process in adherence to specified formats and delivery methods.
- Post-Submission Activities:
- Coordinates debrief sessions, capture lessons learned, and drive continuous improvement in the proposal development process.
- Proposal Database Management:
- Maintain an organized repository of past proposals, standard responses, graphics, and collateral using SharePoint to streamline future proposal efforts.
Qualifications:
- Experience in the full life cycle of proposal coordination. Government contracting a plus
- SharePoint administration experience.
- Strong organizational skills, capable of managing multiple tasks concurrently.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
- Excellent communication skills, both written and verbal.
- Meticulous attention to detail and a commitment to excellence.
