Position Overview:
Under the general supervision of the Program Support Supervisor, the Project Specialist is tasked with aiding in project implementation and documentation for OESED. Their responsibilities include assisting in project planning, identifying, and resolving issues, gathering data, generating status reports, and maintaining communication throughout all project phases.
Duties & Responsibilities:
Collaboration and Management:
- Assists with the planning, development, and implementation of OESED projects and standard operating procedures
- Provide support for development of standard operating guides and work-flows
- Ensures program data is accurately obtained, tracked, and compiled as well as easy to reproduce and present for internal/external requests, FEMA Requests for Information (RFIs) or other projects as assigned
Project Management:
- Ensures adequate daily operation of the projects, including correspondence, especially with supervisors, project manager(s), and internal and external project partners
- Provides weekly project status reports and updates as needed to the Program Support Supervisor, including documentation via designated software with project milestones
- Ensures steady progress toward meeting deliverable deadlines; identify challenges, unmet needs and work collaboratively to develop solutions to advance the goals of the project
- Maintains a process and documentation for evaluation and improvement of projects
- Other duties as assigned, including special tasks involved in responding to an emergency event

Requirements
- Bachelors in Public Health, Business Administration, Healthcare Administration, or related field
Experience:
- At least one (1) year experience in research and developing projects/programs, creation of tables and spreadsheets for tracking data, and review and compilation of historical data for RFIs.
Knowledge, Skills and Abilities:
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
Excellent communication skills (verbal & written)
Ability to be attentive to detail and possess strong organizational and project coordination skills
Possess the ability to multi-task effectively while maintaining a high level of attention to detail.
Possess the ability to work toward the overall goal while also addressing details, including establishing priorities

General Information
Position Type and Typical Hours of Work:
- This is a Grant-Funded | Full Time position
- Days and hours of work are typically Monday through Friday, from 8:00 am to 5:00 pm
- Other days and hours as necessary
Work Environment:
- This job operates in a professional office environment, but will frequently be required to go out to OESED events in the community.
Physical Demands:
- A person in this position frequently lifts, carries, pushes and pulls objects weighing up to 10 lbs.
- They also occasionally move objects weighing up to 20 lbs., and sometimes, but rarely, up to 50 lbs.
