About the Job
The Project Manager/Senior Project Manager provides day-to-day client account support for management of project delivery and other administrative needs. Role supports high volume of tactical projects and provides support to Account Director and VP, Account Management to meet business needs. The Project Manager/Senior Project Manager role will also manage various financial aspects of each project.
Duties/Responsibilities
Client and Project Management:
- Create and manage project plans and timelines for client initiatives within multiple workstreams
- Work with Project lead in managing all aspects of projects from conception to completion
- Address and respond to client requests, with support from Account Director
- Support the financial and project management of assigned projects to ensure successful execution and outcome; including project reconciliation
- Own budget monitoring and internal financial work streams support (Senior PM only)
- Provide task-based project management support, assisting wider delivery teams in meeting day-to-day tasks, including project routing, timelines development and maintenance, and budget/hours management/monitoring
- Triage competing requests and find solutions for capacity and resource issues
- Raise swift awareness to proactively head off issues that put projects at risk for staying on-time, on-budget, and maintain our standards of quality and value
- Coordinate submission preparation and conduct follow-up as necessary
- Review revision requests to ensure they fit with the needs of the project; coordinate with delivery teams for execution
- Owns and maintains internal/client status sheet
- Follow-up action items Email post meeting
- Send deliverables to client/key leaders
- Assist as day-to-day contact with client
- Fully trained on client systems and dedicated to compliance in use of these systems
- Monitor projects to confirm milestones and deliverables are met
- Create and manage project folders on SharePoint for all projects
Operations:
- Comply with all COEUS corporate governance requirements, such as project information documentation and retention and compliance training
- Comply with any and all client-required compliance requirements, such as necessary trainings or certifications
Supervisory/Leadership:
- Coach/mentor junior team members as needed
Business Development:
- Participate in business development activities, including RFP responses, pitches, and deck content
- Brand steward for our client customers, with basic understanding of the market, knowing when to ask the right questions, and working with senior-level account team to solve strategic and delivery issues
- Perform other related duties as assigned
Required Skills/Abilities:
- A performance-driven individual, with a strong sense of urgency, exceptional organizational credibility, and deep understanding of the business
- Demonstrated knowledge and application of skills in all relevant components of project management, including management of scope, time, cost, quality, integration, influence & negotiation, communications, risk, and scenario planning across all project management focus areas (initiating, planning, executing, monitoring and controlling, and closing R&D projects)
- Demonstrated ability in relevant soft skills including change management, continuous improvement, conflict resolution and consensus building
- Proven ability to communicate effectively at all levels of the organization
- Proven ability to manage multiple priorities and work in a cross functional team
- Flexible and able to multitask; can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions; demonstrated resourcefulness in setting priorities and guiding investment in people and systems
- Strong understanding of all aspects of developing a pharmaceutical, the manufacturing requirements and some knowledge of the pharmaceutical industry, regulations, and requirements are important in this role
- Analytic and decisive decision maker with the ability to prioritize and communicate to staff key objectives and tactics necessary to achieve organizational goals
- Strong written and verbal communication skills; a persuasive and passionate communicator with excellent public speaking skills
Education and Experience:
- Bachelor’s degree from a four-year college or university or experience in lieu of degree
- Minimum of 3 years’ experience in the agency environment performing project management/coordination duties; minimum of 5 years’ experience for senior role
- Proficient in MS Office Suite
- Proficient in Veeva PromoMats
