PROJECT MANAGER/ADMINISTRATIVE SUPPORT
Position Type: Full-time, permanent placement position
Our team at The Recruiting Pros is recruiting a talented professional on behalf of growing importer and distributor of home goods sold through major retailers across the U.S. In this two-fold role as Project Manager/Executive Administrator you will have high visibility working closely with functional leaders in sales, materials management, distribution, and product development as well as with executive management. As Project Manager you will lead and direct multiple projects supporting marketing, product management, procurement and sales including customer presentations, photo/video shoots and product introductions requiring strong organizational, prioritization and project management skills to successfully oversee multiple concurrent initiatives to meet project deadlines and intended objectives. In the Administrative Assistant role you will provide Administrative Support to executive leadership, including the CEO, requiring you to consistently demonstrate professionalism, poise, initiative and flexibility within a fast-paced work environment. Your ability to anticipate needs, be organized, resourceful and responsive along with your ability to inspire and motivate others will make you successful in your job.
Project Management responsibilities will require you to:
- Maintain ultimate responsibility for designing and defining individual projects, identifying, and mitigating risks and ensuring on-time, on-cost, and on-quality delivery.
- Identify best practices, optimize project management processes and prioritization, and identify standardization opportunities across cross functional departments.
- Develop initial project plans including participants, timelines, resources, documents/metrics/KPIs, anticipated costs, potential risks, etc.
- Gather data, input and opinions from functional leaders; effectively communicate information to individuals or the larger team as appropriate to drive effective decision making and a successful project outcome.
- Create meeting schedules to ensure the project is moving forward and deadlines are met; create meeting itinerary including project objectives, business-case analysis, progress reports and recommendations; invite and confirm attendees.
- Actively lead and direct project meetings encouraging participation, engagement and enthusiasm.
- Maintain open line of communication with project teams to resolve issues/concerns/challenges; ensure executive leadership is informed of priorities, deadlines, changes and challenges.
- Ensure projects are following the development guidelines and appropriate documentation is being properly maintained; monitor project costs, schedules, and technical performance using project management tools .
- Develop and maintain overall milestone tracking tools for all related projects; hold team members accountable to project deadlines.
- Respond to a wide variety of requests for information, data, reports, etc.
Executive Administrative responsibilities will require you to:
- Provide executive-level support via communication and interaction with the CEO demonstrating strong judgement, competence and responsiveness.
- Participate in management meetings as requested; maintain notes and follow up activities as assigned; ensure the CEO is informed of priorities, deadlines and challenges.
- Assist in the creation and/or gathering of presentation materials/data/reporting for supplier/vendor meetings, sales meetings, budget reviews, etc.
- Provide calendar management including domestic and international travel plans, on and off-site meetings, interview schedules, event registrations and more; provide appropriate materials.
- Arrange conference calls and/or video meetings domestically and/or internationally.
- Independently perform special projects that require a combined knowledge of administrative needs and technical operations.
- Complete accurate and detailed expense reporting
- Assist with contract administration including obtaining signatures, scanning and electronic filing.
- Provide human resources support as required i.e., preparing for new hires to start.
- Maintain appropriate levels of office supplies; negotiate contracts.
Required education and experience:
- Bachelor’s degree in Business Management, Business Administration, Project Management or related field; a CAPM or PMP certification is considered plus.
- 5+ years’ experience providing project management duties and Administrative Support to executive leadership and internal and external stakeholders.
- Proficient in Microsoft Office Suite products including Microsoft Outlook, Word, PowerPoint, Excel and Zoom
- Working knowledge of project management tools i.e. MS Project, Google Sheets, etc.
- Proficient in calendar management including complex scheduling, communicating updates regarding changes, conflicts and cancellations.
- Expert written communication skills, including report writing, presentations, email correspondence and verbal communication.
- Strong interpersonal skills including the ability to interface effectively with a wide variety of internal and external stakeholders, one-to-one or on a group basis.
- Ability to effectively exercise discretion and judgment in handling confidential/proprietary information.
- Proven record demonstrating exceptional organizational skills, plus the ability to manage and prioritize multiple projects simultaneously.
- Ability to work independently with minimal supervision.
