Project Coordinator | Hospitality Procurement

POSITION OVERVIEW

The Project Coordinator is a vital position within Throughline by IIG that embraces the IIG culture, core values, and vision. The Project Coordinator role is a highly developmental and “train into” position that offers essential support to the procurement division. With the ability to grow and learn varying aspects of the procurement process, this role is often used as a “steppingstone” to advance further into the procurement career path.

As Project Coordinator, it will be critical for you to possess a strong sense of business acumen, customer service, problem resolution, time management, eye for details, and commitment to see a project through to completion. As a highly collaborative role, clear communication and coordination with senior project managers, contractors, vendors, designers, logistics personnel, and installers will be crucial for success.

RESPONSIBILITIES

PROJECT SUPPORT & COORDINATION

  • Follow procurement process from start to finish on all projects
  • Review specifications, floor plans, and quantity indexes prepared by interior design (ID) (as assigned)
  • Create matrix to verify product quantities (as assigned)
  • Submit RFQ (Request for Quote) to vendors (as assigned)
  • Prepare vendor bid analysis (as assigned)
  • Prepare project budgets (as assigned)
  • Understand project timeline
  • Prepare and submit Purchase Orders (POs)
  • Manage the fabric, finish, etc. approvals for product with vendor and ID
  • Prepare Expediting Reports and alert Senior Project Managers of any product that is in jeopardy of meeting a deliverable date
  • Participate in biweekly Project Review meeting with Chief Financial Officer (CFO), Chief Operating Officer (COO), Senior Vice President of Business Development (SVP-BD), Account Executive (AE), Marketing Coordinator (MC), Vice President of Procurement (VPP), Senior Project Managers of Procurement (SPMs-P), and Accountant (A)

COMMUNICATION

  • Maintains day-to-day correspondence with internal and external sources
  • Coordinates communication by project team members, including meeting minutes, email documentation and transmittals
  • Correspond and coordinate with design team and consultants
  • Communicates with manufacturer representatives to research material selection costs and specification information.
  • Build and maintain vendor relationships vital for sourcing and effective, efficient deliveries

QUALIFICATIONS

EDUCATION | EXPERIENCE

  • College degree in Business (preferred)
  • 2-3 years of experience in administrative support or customer service role

COMPUTER PROGRAMS & SOFTWARE

  • Microsoft Office
  • Bluebeam (desirable)
  • Spexx (desirable)
  • Exxpedite (desirable)
