Who We Need:
We’re searching for a Project Coordinator to join our crew. As our ideal Project Coordinator, you will help to manage the workflow of multiple, concurrent high-profile projects end to end. You will work to ensure all projects run smoothly, meet deadlines, and adhere to Brightwell’s high-quality standards for clients and internal teams alike. This is a role that will challenge you to forge relationships with many cross functional teams to assist in resolving project-related issues to transition ideas into results in the quickly moving fintech world. What You’ll Do:
- Work closely with project managers and team leads to create detailed project plans, including timelines, milestones, and resource allocation.
- Facilitate communication and coordination among project team members, ensuring everyone is informed and aligned on project objectives.
- Assist Project Managers in tasks such as scheduling meetings, maintaining project documents, updating project progress on tracking tools, and following up on action items.
- Maintain project documentation, including meeting minutes, project plans, communication plans, risk registers, RACI, and issue logs.
- Communication with project stakeholders as directed by the Project Manager, providing updates and gathering information.
- Assist in identifying and tracking project risks and issues, helping to ensure they are addressed promptly.
- Maintain a positive relationship with clients by providing regular updates on project status and addressing their concerns, as directed by the Project Manager.
- Assist the Project Manager with developing client-ready documents such as competitive analyses, SOWs, schedules, briefs, and risk assessments.
- Contribute to a culture of continuous improvement by participating in the development and implementation of best practices, process improvements, and efficiency initiatives within the project management team.
- Conduct research (competitive analysis, risk assessments, etc.) as requested by a Project Manager.
- Take on other responsibilities as assigned.
As Project Coordinator, you have:
- An Associate’s degree in business management, project management, or similar related field (Bachelor’s is preferred).
- 2+ years proven experience as a Project Coordinator or work in a similar role. Fintech experience is a big plus.
- An advanced knowledge of Excel, MS Office Suite and MS Project.
- Ability to work across all of the functional departments and within different team structures.
- Understand project phases and activities aligned within a WBS.
- Excellent communication skills, particularly in conjunction with workflow steps and internal processes.
- Initiative and personal responsibility for your work.
- Strong organizational skills and attention to detail with the ability to multitask.
- Adaptability and flexibility to move with inevitable project changes.
- Strong listening skills and the ability to tactfully communicate positions on relevant issues to reach team consensus.
