Job description

Project Support

  • Provide comprehensive assistance to project managers, aiding in the preparation of contracts, proposals, and project documentation.
  • Manage subcontractor agreements, including contract reviews, obtaining certificates of insurance (COIs), and collecting W9 forms.
  • Coordinate with subcontractors to ensure adherence to contractual requirements and deadlines.
  • Assist in preparing and distributing project reports, meeting minutes, and other project-related documents as needed.

Financial Administration

  • Aid project managers in project financial management, including client invoicing, AR tracking, and overdue payment follow-up.
  • Address client inquiries regarding invoices, payment status, and billing discrepancies promptly and professionally.
  • Manage the process of obtaining lien waivers from subcontractors and vendors as necessary.
  • Maintain accurate records of financial transactions and documentation related to project billing and payments.

Project Communication and Coordination

  • Act as the primary point of contact for subcontractors, vendors, and clients regarding administrative and financial matters.
  • Collaborate with project managers to ensure effective communication and coordination between internal teams and external stakeholders.
  • Facilitate the exchange of information and documentation between project teams and subcontractors/vendors promptly.

Compliance and Risk Management

  • Ensure compliance with company policies, contractual requirements, and regulatory standards related to project financial transactions and documentation.
  • Identify potential risks and issues related to project finances or contracts and escalate them appropriately for resolution.
  • Assist in conducting periodic reviews and audits to ensure the accuracy and integrity of project financial data and documentation.

Process Improvement

  • Identify opportunities to streamline administrative processes and improve efficiency in project financial management.
  • Collaborate with project managers and stakeholders to implement process improvements and best practices.
  • Stay updated on industry trends and best practices in project management and financial administration.

Expectations

  • Proficiency in project management, accounting principles, and adaptability to company-specific systems and processes. Familiarity with Deltek Ajera software is preferred.
  • Exceptional interpersonal and communication skills for effective collaboration.
  • Proactive, detail-oriented, and adept at problem-solving.
  • Familiarity with legal and regulatory requirements in land surveying and .
  • Adaptable and flexible in managing competing priorities.
  • Demonstrates commitment to confidentiality and professionalism.

Hybrid Work Options

This position offers a hybrid work arrangement with the option to work part-time from home, subject to the candidate's suitability for remote work.
