POSITION TITLE:
Construction Project Administrator
POSITION SUMMARY:
The Construction Project Administrator position directly facilitates day-to-day coordination efforts as it pertains to contractual, financial, insurance, submittals, and risk management matters. In terms of new construction jobs, this individual will be leading a successful project management process.
ESSENTIAL JOB FUNCTIONS:
  • Pursues, completes and maintains pre-qualified & qualified trade partner status, with general contractor clients of interest.
  • Provides administrative management support of all project bidding platforms.
  • Promptly establishes and takes a frontline approach in direct client engagement upon project close. To mitigate, complete required tasks, or direct efforts where needed to ensure all expectations are met.
  • Directly responsible and/or assists and/or projects specific contractual matters for project onboarding.
  • Works directly with insurance carrier for issuing certificates of insurance naming additional insured parties or calculates owner-controlled insurance program deducts.
  • Initiates ERP job creation and establishes contractual schedule of values and invoices in general contractors billing system based on percentage of project completion as well as accounts for any project change orders.
  • Contributes to departmental programmatic design and process implementation.
  • Manages entire submittal process, including shop drawings, material specifications, safety plans, etc.
  • Manages project timeline responsibilities and ensures all milestones are successfully reached within contractual compliance.
  • Facilitates coordination and best practice information sharing with all local offices, as needed, throughout the project’s lifecycle.
  • Prepares, delivers comprehensive project turnover package to Operations leadership at each office in preparation for materials procurement and installation.
  • Remains available as secondary project support as needed, until substantial completion.
  • Ensures project closeout items such as product training, manuals delivered warranty letter is issued are completed by all local office, per contractual requirements.
  • Meticulously maintains all project file documentation in precise form.
  • Applies critical thinking and solutions management skills to complex problems to maximize project success.
  • Other tasks as assigned by management.
QUALIFICATIONS:
  • Required:
    • High School diploma, GED, or equivalent
    • Valid Driver’s License with a clean driving record.
    • Minimum of 3 years of experience in new construction
    • Strong experience in Construction Projects and project management
    • Strong background in finance and basic accounting skills
    • Strong knowledge of safety plans and management
    • Strong OSHA knowledge
    • Has general insurance knowledge including, but not limited to, coverage requirements, EMR ratings, etc.
    • As a condition of employment, Guardian will conduct a background check and drug screen
  • Preferred:
    • Bachelor’s degree or equivalent
    • Experience with Textura
    • Access Control, Gate Systems, Overhead Doors, Parking Controls/Integrations, or Service Department experience
PHYSICAL REQUIREMENTS:

Specific vision abilities required by this position include close vision, distance vision, and the ability to adjust focus. The noise level in the work environment is usually moderate.
WORK ENVIRONMENT:
Work is performed in a fast-paced office and warehouse setting with frequent interruptions. Duties may require standing and walking for long periods of time. The employee is expected to work alongside other team members and support day-to-day warehouse operations when necessary. Occasionally need to drive a vehicle to other work locations, supplier, or retailer stores/warehouses, or to have preventative maintenance performed on allocated vehicles and equipment (i.e., forklift, work van, etc.).
