We are currently looking for a Project Accountant to track all billing and costs for commercial restoration and construction projects for our Large Loss Division. In this role, you'll have the opportunity to conduct all data entry of daily paperwork, receipts, and invoices. In addition, you'll maintain all spreadsheets related to each project, organize all backup documentation, and approve payroll.

This is a position with a heavy travel schedule. You'll be a part of our large loss projects and must be able to travel for extended periods of time.

This role pays a base compensation of $40k annually with an exciting travel bonus incentive on the job. We offer exciting growth opportunities and very competitive out of town travel pay.


What you'll do:


  • Create invoice files with the correct pricing lists, as well as create, edit, and maintain vehicle lists, hotel assignments, and contact lists for each project.
  • Assist with the mobilization and demobilization efforts including booking flights, hotels, and rental cars.
  • Create and manage an electronic job folder for each project, and keep track of and organize all paperwork related to the job (both hard copies and digital backup documentation).
  • Ensure everyone on a project is signed in daily, including employees, general labor, and subcontractors.
  • Assist the Project Managers with lineups and ensure that there is an accurate headcount of all personnel, which must match the Master Sign In Sheets and Daily Logs each day.
  • Assist PM to ensure the job file is set up correctly as per the signed contract for the project.
  • Audit all data entry and electronic job files daily and then again when preparing files for billing.
  • Ensure all spreadsheets and schedules are accurate and up to date.
  • Manage petty cash and cash log and disperse per diem.
  • Follow break procedures on each project and make sure all paperwork is filled out correctly and accurately.
  • Work with the Project Manager to ensure all job costs are tracked properly.
  • Work with the Resource Coordinator to ensure all equipment and materials are being tracked properly and accounted for in the job file.
  • Provide needed information to the clients, adjusters, and/or consultants as requested by the PM.
  • Check all Accounts Payable (AP) reports against the job file.
  • Ensure all subcontractor and rental invoices are entered into the appropriate software, electronic file, and sent to AP to be processed.
  • Assist the PM with obtaining new subcontractor packets, W-9’s, and a certificate of insurance from the subcontractors on the projects.
  • Review the equipment scanning database periodically and at the end of each job.
  • Supervise File Clerks.


What you'll bring:

  • Proficiency in Microsoft Excel, Microsoft Word, and overall good computer and keyboard skills
  • Ability to learn new software and programs on a computer and other technology such as a smartphone
  • Proficiency in invoicing and electronic file management systems
  • Strong math skills, reading, writing, grammar, and spelling skills
  • The ability to follow and give instructions, verbally and written
  • The ability to work individually, as a team, and in large group settings
  • Good attention to detail
  • The ability to plan, prioritize and organize
  • Dependable and adaptable characteristics
  • The ability to work in a fast-paced and ever-changing environment
  • Must be able to travel and be away for months at a time - conditions can include weather such as extreme heat or cold, rain, snow, or ice. Some work environments may not be climate controlled.
