Overview
THIS IS A REMOTE POSITION BUT CANDIDATE MUST LIVE IN THE TWIN CITIES MN AREA
The Program Specialist provides exceptional support to individual program team administration and program implementation. Program Specialists may be called on to support general program operations and implementation and are expected to observe confidentiality of member, program, and organizational information. The Program Specialist is responsible for ensuring technical systems supporting program and member training and implementation are up to date. The Program Specialist works closely with their regional team and supervisor to ensure that priorities of the regional team are met. Periodically, the Program Specialist receives direction from the Director of Training Implementation regarding logistics planning, coordination and execution of member training. The Program Specialist also plays a critical role in AmeriCorps member recruitment. This position will observe confidentiality of all members, program and organizational information.
Responsibilities
1. Program Administration and Implementation: Support and manage program data requests, as well as support technical systems administration (e.g., managing access issues, file organization, etc.). Engage in site partner technical support, including but not limited to site agreement sharing and follow up, Ampact hub access needs and other forms of technical support. Coordinate member focus groups and report on feedback.
2. Member Training Logistics and Administration: Under the direction of the Director of Training Implementation, the Program Specialist will support the planning, coordination, and execution of inclusive regional and statewide training sessions. This support includes, but is not limited to scheduling venues, catering, managing member accommodations related to training, organizing and/or preparing handouts or materials, arranging travel logistics, arranging hotel accommodations. Program Specialist will support required and supplemental training and member meetings. The Program Specialist will support member training with any logistical needs on the day of training. This will require in-person support and regional travel as directed by supervisor or Director(s). Monitor completion of required training sessions for individual members and provide regular updates on the status of completion.
3. Project Coordination: Under the direction of Supervisor or Directors, use project planning software to update deliverables, complete tasks related to program administration and implementation, and align project details (e.g. budgets, schedules, timelines). Complete project and program deliverables related to key performance indicators; and identify and engage key stakeholders and project teams. Collaborate with various teams, roles, and organizational functions in order to achieve objectives. Provide tools, timelines, and technical assistance to support project implementation. Document and organize critical aspects of program implementation for long term sustainability and ongoing scaling.
4. Member Recruitment: Under the direction of the supervisor, support recruitment and outreach activities, which may include applicant screening, conducting interviews, and database management.
5. Administrative Support: Under the direction of the supervisor, provide additional support as needed to meet the goals of the team. Coordinate site visits, including but not limited to communication, scheduling, materials, and attendee support. Support staff and training logistics. Administrative support for staff onboarding and technology access. Administrative support for member onboarding. Reviewing regional team or program specific resources to ensure accuracy. Verify and log independent service requests from members and liaise with program staff as needed. Participate in team meetings.
6. Other duties as assigned.
Qualifications
Minimum Education
Associates Degree (preferred) or equivalent experience
Minimum Experience
  • Minimum two years administrative assistance experience, or equivalent combination of education and experience.
  • Ability to focus while working on repetitive tasks.
  • Able to handle a high level of confidentiality.
  • Demonstrated success of working in a collaborative, team environment.
  • Excellent oral and written communication skills, including excellent interpersonal skills.
  • Commitment to supporting diverse perspectives, applicants, and enrolled members in our programs.
  • Ability to work effectively in collaboration with diverse groups of people.
  • Commitment to develop equity skills and cultural competence.
  • Attention to detail and commitment to accuracy.
