The Program Operations Manager is responsible for overseeing administrative and
operational support to the Clinical and Administrative Teams and supervision of other
office support staff. This includes appropriate processes to monitor compliance, the
organization and maintenance of Case Records, preparation of client monthly reports,
and being the subject matter expert for all matters related to electronic health records
(EHR), excluding revenue cycle.
Reports to: Chief Operating Officer
JOB RESPONSIBILITIES:
Manage client integration and interface requirements, the design and
coordination of new forms and products, testing, implementation, and
evaluation of all EHR components. This includes, but is not limited to the
following:
a. Coordinates meetings with EHR vendors to analyze current needs as
well as troubleshoot workflow issues. Creates and maintains project plans issue logs, etc. as defined by management team
b. Makes recommendations for improvement of operations or processes. Identifies opportunities and threats and provides associated recommendations to Chief Operating Officer. Clearly articulate problems, issues and potential solutions to team members, external vendors, and administration with diverse interests while managing expectations
c. Train clinical/administrative employees on EHR usage, updates and
best practices
d. Oversee administrative and clinical support functions and supervise office
support staff. Manage workload to assure all assignments are completed properly by
assigned due dates
e. Prepare and distribute client monthly/quarterly reports
f. Process Medicare claims submitted by therapists
g. Maintain appointment schedule for Psychiatrist
h. Assist in data compilation and complete reports as required for Outcome
Management program, monitor compliance with Support Regulatory, Waiver
and CARF compliance including through development of processes to monitor compliance and demonstrate efficiency and effectiveness as appropriate
Oversee maintenance of the knowledge management documents as
assigned
Provide administrative/data entry/report production and analysis support for
the Outcome Management program with responsibility for assuring database
remains current with new, transfer and discharge client demographics and
timely entry of MPAI scores
Support Clinical Manager in the dissemination of client information to support
residential program goals
Prepare/disseminate client records as requested by outside agencies
Attend external and internal meetings as suggested and appropriate by
supervisor
JOB QUALIFICATIONS:
_ Bachelor’s degree required_
- Certified medical coding experience with preference for expertise in Medicare
billing requirements• Knowledge of multi-platform systems
- Minimum three (3) years’ experience completing program/office support tasks in
a health care setting and at least one year in a supervisory capacity
- Familiar with medical terminology and health care operations
- Excellent organizational skills, ability to problem-solve, able to follow directions
and complete work efficiently and correctly with minimal supervision
- Proven ability to work in an environment which requires the utmost in client and
company confidentiality
- Proficient knowledge and experience with information technology, applications of
technology in program planning, and Microsoft 365 applications.
- Excellent written and verbal skills
Certification in project management preferred
