Job Summary: Key Job Responsibilities and Duties
This position administratively and programmatically supports multiple priorities and initiatives within the entire California Community Foundation’s youth development and education portfolios with specific focus on the public-private partnership with the Los Angeles County Probation Department (a.k.a. Ready to Rise or R2R) to fund youth development and juvenile justice related issues. Key responsibilities include: fielding of general portfolio inquiries, budget management, project logistics, and general grant management such as applicant outreach, correspondence, monitoring and reporting. This position also provides coordination and documentation of team schedules especially calendar requests to the Senior Program Officer, key grantmaking deadlines, convenings, activities, committee schedules, and meetings, as well as provided related background information. Additionally, this position provides support for strategy development, research, design, analysis, and evaluation of grants and grantee partners. This position will support project management to ensure the successful implementation of specific programmatic events, initiatives, monitoring grantee progress and activities, and coordination with internal and external partners, as needed. As part of CCF’s strategic plan, staff work in collaborative, integrated teams across portfolios in order to address systemic issues in vulnerable communities.
About Ready to Rise: A public–private partnership between the CCF and the Los Angeles County Probation Department (“Probation”). Our primary goal is to build a positive youth development system that replaces the structures of punishment and incarceration with emerging best practices centered on healing, learning, and opportunity. This comprehensive grantmaking strategy aims to enhance organizations’ abilities to: 1) enhance service delivery; 2) advance a positive youth development framework; 3) build a countywide youth development system; and 4) strengthen organizational development.
Primary Duties and Responsibilities

Grantmaking, Grants Management, and Grant Monitoring: With guidance from the program officers and in collaboration with the Grants Management and Compliance Teams, assists with the intake, review, and processing of grants and/or grant applications. Supports grant docket preparation and production of needed materials including collection of grant contact information, grant data sheet, grant agreement content, Board memo templates, grantee progress reports, payment requests, and other related correspondence. Works closely with the Grants Management and Compliance Teams to apply due diligence standards, meet Board docket requirements/deadlines, develop new reporting processes, and improve existing processes. Communicates and meets with grant seekers and grant awardees, as needed. Works directly with grantees to provide clarification and direction of deliverables (e.g., late/missing progress reports and/or grantee profiles). Creates, updates, and maintains databases. Monitors and reports regularly to program officers on grant processes including grant agreements, progress reports, payment requests, and other related correspondence. Creates, updates, and maintains databases, grant records, and grantee communications. Works closely with the Grants Management Team and Compliance Teams to apply due diligence standards, develop new reports and improve processes. Communicates and meets with grantees as needed. In collaboration with the Compliance Team, leads R2R team in tracking grant budgets, County contract materials, and other deliverables.
Key Administrative Support: Provides needed administrative support for the youth development portfolio such as: Composing, processing, and expediting correspondence; Preparation of CCF Board and Program Committee materials; Agenda preparation as needed; Creating and maintaining department files; Scheduling meetings and conference calls; Ordering supplies; Copying documents, processing fax and messenger communication; Making travel arrangements; Processing invoices, check requests, and expense reports; Maintaining department calendars; Event coordination; and Managing select vendor relationships. Coordinates project calendars, schedules meetings for CCF-led support organizations, taskforces, and committees, and administers contact lists. Assists with various departmental projects, including responding to external requests for information and materials. As necessary, takes and prepares minutes for meetings. Serves as liaison to communicate pertinent information between the CCF President’s Office, CCF Leadership Team, Senior Vice President of Strategic Community and Programmatic Initiatives and other staff, suggesting courses of action but using discretion when no instructions have been given.
Grant Proposal Analysis: Under the guidance of the program officers and Program Manager, assists with review of applications for funding support through written analysis, site visits, knowledge of the field, interviews with other funders and comparisons with other funding requests.
Project Management & Reporting: Supports program operations ensuring milestones and key events are executed on time. Working with program officers, Program Managers, external evaluators, and/or advisory committees, this role will also support reporting needs. Activities include reporting outcomes of goals, tactics, and events for specified initiatives and/or partnerships. As needed, supports program officers in securing additional investment from other foundations and/or funding sources including the production of proposals and final reports to funding partners.
Budget Management: Manages budget tracking for Ready to Rise. Provides quarterly budget reports and updates. Assists with monitoring and submission of non-grant contracts and invoices including collection of required contractor/vendor documentation.
Community Engagement and Partner Relations: In collaboration with Senior Program Officer, this position will work directly with community partners and consultants, and diverse constituency groups, including community-based service providers, policy and advocacy organizations, advisory boards, city staff and agencies, local and state-level elected and appointed officials and business leaders to support the successful implementation of programs and initiatives. In consultation with Senior Program Officer, represents CCF in foundation and community groups related to grantmaking interest areas. Participates in donor events and outreach activities as requested during and outside regular business hours. In consultation with program officers, works directly with grantseekers to provide clarification of community foundation priorities, direction regarding application procedures, and feedback on proposals. Seeks opportunities to inform CCF’s Youth Development and Education program areas of nonprofit organizations to partner with the foundation.
Communications: In collaboration with CCF’s Marketing and Communication Team, leads the development of communications materials (e.g., R2R weekly newsletter) on behalf of the R2R team.
General: As appropriate, assists other departments and works as a member of interdepartmental teams to ensure the effective and efficient operations of CCF. At all times, demonstrates cooperative behavior with supervisors and coworkers. Other duties as assigned, dependent on organizational needs and employee skills.
