Duties and Responsibilities :• Serves as primary contact to office support staff and research students.
• Establishes and maintains procedures and other controls necessary in carrying out assigned program and grant activities.
• Prepares and revises reports, correspondences, charts, PowerPoint presentations and other Microsoft programs.
• Manages travel arrangements for meetings; schedules and coordinates calendar meetings.
• Receives and screens telephone calls and visitors to the office.
• Reviews and edits outgoing correspondences for procedural and grammatical accuracy with general policy and factual correctness.
• Interacts with students, faculty and staff on confidential matters; exercises independent judgment and initiative in establishing and revising complex and sensitive data.
• Receives and reviews incoming correspondences and information.
• Assists with the development, coordination and implementation of special programs and events.
• Assistswith partnerships and associated events.
* Assist faculty with grant activities, and contracts as needed.
• Work closely with the I IBG I Admin Assistant as needed.
• Coordinates projects to accomplish identified goals and objectives; prepares final reports; researches and interprets information.
• Responds to inquiries about and within the department; collects, compiles, and organizes data for various ongoing studies.
• Processes supply, equipment and software purchases for the department and grant activities.
• Assists with establishing and monitoring budgets; updates time, leave, inventory; and account records.
• Performs other tasks and duties as assigned.
Bachelor’s degree.
Experience:Two years of administrative experience required.
Knowledge Skills and Abilities :Elementary knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information; of basic methods and techniques used in organizing and conducting studies and analyses or programs, procedures, and organizations; of basic analytical and statistical principles and techniques. Skill in the use of office automation software and its application; in operating manual and automated office equipment. Ability to establish and maintain effective working relationships; to present ideas and information clearly and concisely both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form.
Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
