Job Overview
The Program Coordinator will provide a variety of administrative duties to support the members of the Senior Leadership Team and serve as a key point of contact to internal and external constituents on matters related to the work of the units and departments of the V Foundation. The Program Coordinator will serve as a problem-solver and have a good understanding of issues within the organization and the work environment. The individual will work with staff at all levels of the foundation and will assist in the implementation of business goals, strategies, and initiatives. The Program Coordinator will be a trusted contributor and assist the leadership team in day-to-day operations of the foundation. The Program Coordinator will work closely with other units and departments in the course of their work. The individual should be able to work within the organization's culture and collaborate with others and relate well to all. The successful individual in this role will build constructive and effective relationships and use diplomacy and tact.
Key Responsibilities and Activities
50% Complete a broad variety of administrative tasks.
- Schedule and manage active calendar of appointments.
- Complete and submit expense reports.
- Arrange complex and detailed travel plans and itineraries.
- Plan and coordinate a variety of meetings and assist with all logistics.
- Prioritize and follow up on incoming issues and concerns addressed to senior leaders to include those of sensitive or confidential nature.
25% Coordinate day-to-day activities of the unit or department.
- Foster effective communication methods between members of the team.
- Demonstrate leadership and maintain credibility, trust and support with senior management staff.
- Works closely and effectively with senior leaders to keep them well informed of upcoming commitments and responsibilities.
- Participate in team meetings to follow up and implement action items and outcomes.
- Assist in coordinating the agenda of team meetings and other organizational activities.
25% Prepare documents for expense and other reporting needs.
- Process information and submit it to accounting/HR software for reimbursement.
- Assist senior leader and other team members with travel accommodations.
- Facilitate cross-department coordination of staff travel for Board meetings and events.
- Generate reports and other information to assist in completing data requests.
- Serve as a liaison between the Foundation and external partners. May interact with Board Members, key stakeholders, donors, partners, etc.
- Coordinate supply orders, equipment needs, etc. for the department.
Requirements
• Bachelor's degree in business or related degree and 3 or more years of relevant work experience.
• Excellent customer service and networking skills.
• Proficiency in Apple/Mac software (including iMovie).
• Proficiency in Hightail, NPSP, Greater Giving and EnTribe.
• Knowledge and experience with Office 365 (including Word, Excel, PowerPoint, Outlook).
• Excellent time management skills and ability to manage multiple ongoing projects at once.
• Ability to think creatively and problem solve.
• Proactive self-starter with strong creative, analytical, planning, and project management skills.
