ACES Program Coordinator

Job Description

Status:Full-Time Exempt (40+ hours/week), Annual Salary

Reports to: Program Director/Manager

Supervises: Academic Coaches

Location: Twin Cities, hybrid

Salary: $55,000 - $61,000


Position Description

Program Coordinators are responsible for coordinating and overseeing all ACES program operations. They ensure the effective implementation of high-quality ACES programming, including supervising up to 5 part-time Academic Coaches. ACES’s model operates in classroom settings of 15-17 students, before- or after-school for up to five days per week. Program Coordinators are ACES model experts and are expected to step into classrooms, whether teaching a class or providing instructional or behavioral support. They model the ACES culture at their site and lead daily staff meetings as they supervise and provide feedback to Academic Coaches. As supervisors, they become their Academic Coaches’ biggest advocates for growth and coach their supervisees toward ongoing programmatic and personal success.

Program Coordinators are detail-oriented, embodying ACES’ evaluation philosophy and data-driven approach. Alongside the Program Director/Manager, they set and work toward ACES’s student recruitment and retention goals by ensuring student engagement in program activities. They manage their site’s data on the ACES database and ensure timely completion of student data and metrics. Additionally, they develop strong relationships with partner site staff, students, Academic Coaches, and students’ families, acting as ACES representatives and communicating with site staff and faculty for smooth operations. With the Program Director/Manager, they create and implement family communication and engagement plans, fostering relationships that support the whole student experience and growth.


Responsibilities

1. Program Management:

· Coordinate and oversee all aspects of the ACES program, including program planning, scheduling, and implementation.

· Develop and maintain program policies, procedures, and guidelines to ensure a safe and enriching environment for youth.

· Collaborate with school administration, teachers, and staff to align program activities with school goals, policies, and objectives.

2. Supervision and Coaching:

· Recruit, hire, train, and supervise part-time Academic Coaches.

· Provide ongoing coaching, support, and feedback to Academic Coaches to enhance their effectiveness in delivering program curriculum and engaging youth.

· Conduct regular observations and evaluations of Academic Coach performance and provide constructive feedback for improvement.

· Create and operationalize systems that work to support and grow part-time staff success with achieving growth and impact with ACES youth

· Empower ACs to own their youth relationships, classroom culture, youth accountability; create space for collaborative solutions through challenges.

· Create personalized coaching and growth plans to target AC strengths and areas of continued growth.

3. Curriculum Development:

· Collaborate with program team and stakeholders to develop and implement a curriculum that meets the academic, social, and emotional needs of youth.

· Ensure that program activities are aligned with curriculum standards and promote youth learning and development.

· Implement curriculum feedback structure to gather input and make changes.

4. Student Engagement and Support:

· Foster a positive and inclusive environment where all youth feel valued, respected, and supported.

· Implement strategies to promote student engagement, participation, and success in program activities.

· Provide academic support and assistance to youth as needed.

5. Parent and Community Engagement:

· Communicate regularly with parents and families to provide updates on program activities, youth progress, and opportunities for involvement.

· Collaborate with community organizations, volunteers, and partners to enhance program offerings and resources.

6. Program Evaluation and Improvement:

· Monitor program outcomes and assess the effectiveness of program activities in achieving desired goals and objectives.

· Collect and analyze data to identify areas for improvement and make recommendations for program enhancements.

· Implement strategies for continuous quality improvement based on feedback from stakeholders and evaluation findings.

7. Key Success Measures include:

· Survey Data - staff surveys, partner surveys, family surveys

· Recruitment and Retention - ACES Youth & Academic Coaches

· AC Coaching & Development Impact

· Training attendance and evaluations

· Academic Coach Observations

· Student impact metrics - Math & SEL growth, attendance, dosage


Qualifications

• 2 years of experience working with youth, teaching or leading children ages 10 – 17

• Clear communication skills with strengths in: giving and receiving feedback; building rapport with students, families and staff; and showing empathy

• Embodiment of ACES’ values, mission, and beliefs

• Ability to exercise initiative and take ownership of managing a site, while asking for support when needed

• Strong organizational skills and detail-oriented

• Supervision and management skills

• Ability to occasionally flex work hours to include evening and weekend commitments


Desired Skills & Experience

· Bachelor’s degree in a relevant field

· Experience managing a staff team

· Experience working in organizations with diverse populations

· Experience teaching or tutoring math

· Familiarity with Ramsey/Hennepin County and its organizations

· Bilingual in English and Spanish or Somali or Hmong

· Current MN teaching license
