We are seeking aProgram Coordinator – Office of the CEO to join our team. This is an in-office opportunity based out of our Waltham, MA office.
Job Summary
The Program Coordinator for the Office of the CEO provides operational support and project management for the clinical workflow team, the customer relations team, and the Office of the CEO. This position is primarily an internally-facing role, but also involves interfacing with customers and vendor partners under supervision as needed to facilitate the business of theOffice of the CEO. It is cross-functional and requires coordinating projects autonomously. The position requires logistical and technical proficiency and the ability to perform data entry, analysis and reporting, The Project Coordinator should be eager to learn the business and culture of the most common departments that they interact with; namely sales, marketing, customer success, business operations, finance and IT. Part of the job will require part-time immersion rotations in some or all of these departments, in order to foster better understanding, close working relationships, shared learning and streamlined operations (as well as improved culture and collaboration) between departments and the Office of the CEO.
Duties and Responsibilities
- Track and report on clinical team and customer relations activities, including customer touchpoints, using Salesforce, Microsoft OneNote, and other similar tools.
- Assist the clinical operations team in analyzing activity and performance data to streamline operations and improve team performance, including use of Salesforce and Tableau dashboards and reports, as well as Excel and OneNote.
- Act as the communications liaison to coordinate joint projects between the clinical team/Office of the CEO and other departments, such as sales, marketing and customer success. This includes logistical support for joint efforts such as account-based planning, specific campaigns (such as emerging products), and proactive renewals team customer outreach.
- Prepare and curate pre-meeting internal briefing documents for the Office of the CEO for major conferences and meetings, such as the CHIME Fall Forum, AMDIS annual conference, HIMSS, and Imprivata Customer Advisory Board meetings.
- Prepare and distribute agendas, informational emails, and other communications to customers under the supervision of Office of the CEO staff to support major meetings, campaigns and other initiatives.
- Coordinate logistics for Imprivata executives and invited customers for major conferences, events and customer visits, including assisting with hotel accommodations, dining reservations, catering, and transportation options, and any other travel-related details. For marketing-led events, this will be an assistant role. For Office of the CEO led events, the Program Coordinator will assume the primary role.
- Generate and process purchase orders and invoices for the Office of the CEO related to executive outreach. This includes managing and tracking vendor and customer PO’s, w-9s, and invoices in Avid and Netsuite.
- Rotate as requested to other departments to undergo more in-depth training on their processes, procedures and technology to learn how to better collaborate with them and streamline the relevant inter-departmental business operations. These departments could include (but not be limited to) sales, marketing, customer success, business operations, and IT.
- Other duties as assigned and required.
Required Qualifications
- Bachelor’s degree in Business Analytics, Mathematics, Economics/Finance, Information Technology, Communications, Marketing or related field (or evidence of working toward such a degree, or equivalent prior working experience)
- Demonstrated proficiency in project planning and coordination.
- Demonstrated organizational and logistical skills.
- Demonstrated technical proficiency with customer relationship management tools, such as Salesforce
- Passion for problem-solving
- Proficiency with Microsoft Word, OneNote, PowerPoint, and Excel
- Excellent communication skills. Candidate needs to be able to work with internal stakeholders and customers alike.
- Willingness to learn and adapt. Looking for people excited by the challenge of learning new tools and processes, who can adapt to rapidly changing priorities in a positive manner.
- Ability to function independently in a fast-paced environment.
This position offers a salary range of $67,800.00 to $77,800.00 (inclusive of variable compensation such as bonuses and incentives). In addition, more information about Imprivata’s benefit offerings can be found here. This salary range represents the high and low end of Imprivata’s salary range for this position. Actual salaries will vary and may be above or below the range based on various factors, such as a candidate’s location, skills, experience, and qualifications.
