Program Coordinator - Join the Urban Village Revolution!

Here's a glimpse into what the role entails:

Location: We can consider candidates for this position who are able to accommodate a hybrid work schedule and are close to one of our following offices: Denver, CO, and Las Vegas, Nevada

Schedule:

  • Monday - Friday 9:00 AM - 5:00 PM MST with the flexibility to support meetings with other time requirements**
  • Wednesday and Thursday, remote
  • Monday - Tuesday and Friday in-office
  • Start: ASAP

Pay: $50,000-$60,000 + bonus

Travel: Will travel as needed to various properties on a monthly basis (1-2 times a month)



Job Description

Portfolio Management:

  • Host at least 2 partnership events per quarter per portfolio, managing resident leader teams effectively within established policies and procedures.
  • Communicate seamlessly with site teams through weekly manager meetings, quarterly program review calls, and clear, concise event recaps, and photos submitted promptly.
  • Keep budgets in check: Ensure BILL submissions are on time, and property budgets are utilized with no more than $50 left unspent monthly.

Partnership Program Management:

  • Conduct site assessments post-launch, updating annually for a comprehensive understanding.
  • Nurture at least 1 active partnership per property and consistently seek to procure additional partnerships based on the unique needs of each property on a regular basis
  • Accurate data entry on Monday.com for Partnership CRM contact info and Community Partnerships notes.
  • Seek approval for Partnership budget, demonstrating transparent breakdowns for amounts above $500.
  • Maintain a continuous dialogue with site teams regarding programming through calendar invites, announcements, and monthly report emails.

Resident Mentorship:

  • Outreach to interested residents and help engage them in Urban Village.
  • Manage multiple schedules of resident-led community events using your calendar.
  • Facilitate & support resident leadership teams at each property, to include training and mentoring resident volunteers on all aspects of their community-building efforts.
  • Managing multiple Facebook pages/groups with posts, event invitations, flyers, etc.

Organization and Reporting:

  • Work with Program manager and Program Director via regular communications over the phone, email, and video conference, while maintaining and updating work/project plans using the web-based tool (Monday.com).
  • Maintain & update organizational files with information for each property (marketing materials, photos, contact lists, documentation, etc.).
  • Collect, organize, and report on impact data about Urban Village community involvement using tracking spreadsheets.

Travel & Scheduling:

  • Plan upwards of 15 onsite resident events each year, including event planning, coordination, travel arrangements, and hosting the event (usually ranging from 15-75 resident attendees).
  • Travel (lasting 1 – 3 days) for events at various properties in the western United States (currently AZ, CA, CO, IN, MI, MO, NM, NV, OR, TN, TX, UT, WA, WI, WY).
  • Plan travel logistics at least 2 weeks in advance, with flexibility for a work-from-home day if the flight lands at home after 6 pm.
  • Be strategic about travel days, avoiding Fridays whenever possible and stay connected while on the move, checking emails and Teams daily.
  • Demonstrate time management skills and plan ahead for work-from-home days or personal appointments under 2 hours.

General:

  • Bring a respectful and positive attitude to the table, fostering a collaborative environment.
  • Be the face of Urban Village by dressing professionally during events, team calls, site team meetings, and partnership calls.
  • Embrace teamwork, building and maintaining strong relationships with site teams and fellow staff members.
  • Complete assigned tasks and projects efficiently, communicating proactively with your supervisor if challenges arise.

Desired Skills & Essential Job Elements:

  • People skills: Friendly/warm, supportive, clear, and direct.
  • Volunteer Management experience: Proficient in volunteer management, with the ability to recruit, train, and effectively lead a team of volunteers to support community events and initiatives.
  • Project management experience: Ability to plan, manage, prioritize, and follow through on all necessary tasks and communications.
  • Excellent written and verbal communication skills: Including wordsmithing, proper grammar, clarity of content, and understanding of basic brand messaging.
  • Visual communication skills: Including designing effective, aesthetic, and concise flyers and newsletters.
  • Social Media experience: Managing and developing effective Facebook pages & content.
  • Ease and understanding of: MS Word, Excel, Canva, file sharing, etc.
  • Event Coordination: Plan and execute diverse community engagement activities, partnership events, and mentor events.
  • Team Management: Effectively manage resident leader teams, ensuring clear communication with site teams.
  • Communication Skills: Demonstrate clear and concise communication through various channels, including orientation calls, weekly manager meetings, and quarterly program review calls.
  • Professional Representation: Represent the Urban Village Program positively through professional attire and a respectful attitude during events, team calls, and meetings.
  • Collaboration and Relationship Building: Build and maintain positive relationships with site teams and other staff members, fostering a collaborative team environment.
  • Personal Attributes: Amazing work ethic and ability to function well in a fast-paced work environment, self-motivated, proactive, a desire to learn new things, a love of organization and orderliness, a positive and fun outlook on life, exceptional emotional intelligence: heart-centered, poise, maturity, and level-headed, a belief that individuals can make a difference, and collectively we can change the world.
