USAID's Bureau for Planning, Learning and Resource Management (PLR), Office of Development Cooperation (PLR/DC). PLR/DC is a dynamic, fast-paced office that works to coordinate and strengthen USAID engagement and partnership with international partners, including bilateral and multilateral donors and philanthropic organizations.
We are seeking Program Assistants for multiple positions in PLR. The Program Assistants will be responsible for tracking cross-Bureau operations and management issues, supporting internal and external communications, organizing and coordinating internal and external meetings, drafting materials and correspondence, and otherwise supporting Program Office leadership and colleagues.
Responsibilities
- Review tasks, and track a variety of public affairs and communications documents, which are received from USAID Bureaus and Independent Offices (B/IO) as well as from within the interagency.
- Manages a shared, well-organized electronic filing system, including document tracking, records library, and other electronic files as needed. Keeps filings up-to-date and regularly assesses organization and usability; makes recommendations for changes or improvements as needed.
- Support public affairs and communication with internal and external, stakeholders both orally and in writing.
- Drafts correspondence, recommendations, reports, and memoranda related to outreach and communications, as assigned.
- Supports efforts to coordinate PLR responses to requests from the PLR Front Office and other Bureaus related to communications and outreach. Ensures all briefers are complete, properly cleared, error-free, and submitted in a timely fashion.
- Maintain up-to-date content on PLR's external and internal websites in collaboration with Bureau communications staff.
- Tracking content to ensure timely posting on the public website
- Adding relevant bureau information and announcements to myusaid.gov
- Analyzing usage of bureau outreach tools to ensure reachability
- Update, edit and increase accessibility of current Bureau information documents, including but not limited to fact sheets, correspondence, congressional material (hearing transcripts, follow-up questions) and reports.
- Drafts and edits fact sheets, presentations, and other documents for distribution to USAID, Interagency, and public audiences.
- Supports the planning and execution of PLR sponsored meetings, briefings and summits. Preparation for meetings includes scheduling and organizing Bureau briefings and information sessions. Attends and reports on the events as necessary.
- Support manage program office workflow, including tracking correspondence and managing deadlines and clearances.
- Support internal, cross-Bureau communications on cross-cutting operational, and administrative issues.
- Organize and facilitate internal and external meetings, and manage calendars for Office leadership.
- Coordinate and monitor office administrative requirements.
- Collect and respond to requests for information.
Qualifications
- U.S. Citizenship.
- Current Secret-level security clearance preferred.
- Bachelor's degree with two years of relevant work experience, Associate degree or High School with relevant work experience.
- Excellent written and oral communications skills.
- Relationship management experience and ability to work under short-term deadlines.
- Experienced with drafting and editing a wide variety of written products, including memos, SOPs, discussion notes, etc
- Background in international development, foreign policy, or a related field preferred.
- Prior USAID experience preferred.
- Strong oral and written communications skills.
- Highly motivated with an acute attention to detail and the ability to multitask and prioritize competing demands.
- Ability to work independently to deliver high-quality work products.
