KMI is currently seeking a qualified HR Program Assistant which requires human resources Program Assistants to assist the Office of Recruitment, Evaluation, and Employment, Board of Examiners (BEX). Each year, the Board of Examiners interviews thousands of prospective candidates for Foreign Service (FS) Generalist, Specialist, and limited-term appointment positions. The position involves extensive contact with the public, often under time constraints and in stressful situations. The Program Assistant is often an applicant's first personal contact with the Department of State. Excellent interpersonal and managerial skills are essential.
Specific Tasks and Deliverables:
- Initiate and update records for Generalist, Specialist and Limited Non-Career candidates related to employment in the REE Tracking Application (REETA)
- Provide guidance to candidates on ranking, deferment, veteran points and language rules and regulations
- Respond to email and telephone inquiries from candidates regarding ranking, deferment, language points, veteran points, medical/security clearance and suitability questions
- Prepare memos and scanning of employment documents to Payroll
- Initiate new hires into the travel database
- Initiate new hire personnel actions (form SF-50)
- Prepare and forward form SF-75 request for personal data information on transferring employees from other federal agencies
- Receive and assemble new candidate files from the Assessment Center
- Liaise with Records Management for retrieving and retiring hired and closed candidate files
- Liaise with Diplomatic Security (DS) representatives for processing of candidates who pass the oral assessment
- Prepare first day entry on duty confirmation packets for new employees
- Prepare and scan the request for personal ID badges (form DS-1838)
- Initiate and process State Department ID badges using the DS badging equipment
- Compile Hiring Status Report in Excel spreadsheet
- Maintain required statistical data
- Maintain current list for travel assignment technicians
- Initiate service computation dates updates
- Brief Division Chief or HR Specialist on the status of daily work assignments
- Assist HR Specialist with special projects as needed
- Prepare and send out official offer emails to candidates
- Prepare and track customer service survey data
- Assist with training of incoming (new) support staff
- Perform other ancillary duties as needed
- Serve as receptionist at front desk as needed
- Escort candidates as required
