Important note: Applicants seeking short-term or part-time work with the University of Hawai'i may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions. Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees. Continuation is dependent on satisfactory performance, program needs, and renewal of funds.
Duties and Responsibilities:
Serve as the Program Assistant, directly supervised by the Student Parents Program (SPP) counselor. SPP supports all student parents and guardians of minor children as they attend Kapi’olani Community College. The SPP Counselor also serves as a Confidential Advocate for students who are seeking support for gender based violence and discrimination under Title IX mandates. This position will also provide adjunct support to the Ka’au Program for Mental Health and Wellness and the PAU Violence Coalition.Provide computer technology support, including maintaining program database and email list, updating student enrollment information on Banner, working with student records from STAR, etc. (Desired computer software knowledge: Banner, STAR, Laulima, Kuali, MS-Word, MS-Excel, MS-Access, MS-Publisher, MS-PowerPoint, Adobe Acrobat Professional, Canva or other graphic design software)Maintain and research scholarships and community resources databasesAssist in the vetting process of Scholarship applicants for UH System scholarship. (There are several scholarships administered by the Student Parent Program)Prepare requisitions, purchase orders and other operations using the Kuali Financial SystemProvide general admissions and academic advising, career planning assistance and referrals to campus and community resources, such as agencies for financial and food assistance, legal help, child-care, etc.Assist the SPP counselor in appropriately addressing and directing students who need Title IX confidential services (This position may be the first line of contact via phone or walk-in for students in crisis) Prepare for and facilitate information sessions, both in-person and on-line for prospective and current students to provide program information and other resources, and compile evaluationsProvide office support which includes creating and updating support materials, flyers, and resources, maintaining program email, ordering office supplies and materials, etc.Provide supervision to student assistants and peers (if applicable and funded) of SPP, Ka’au and PAU ViolenceCommunicate with external agencies such as First to Work, Child Care Connections, etc to encourage college enrollment of their clientele.Assist in planning, organizing, and conducting SPP, Ka’au and PAU Violence Coalition activities and special eventsServe as a back-up to the TRiO office manager who provides support to Ka’au, Title IX and the PAU Violence CoalitionAssist in Title IX initiatives such as publications and web support.
Minimum Qualifications:
Possession of a baccalaureate degree in Information Technology, Communications, Social Sciences, Education, Management, or related field and 3 year(s) of progressively responsible professional experience with responsibilities for technology support, office operations, or academic advisingConsiderable working knowledge of principles, practices and techniques in the area of Student Affairs as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with Student Affairs Support Programs, such as FERPA and Title IX.Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.Demonstrated ability to operate a personal computer, apply word processing software, and have familiarity with spreadsheets, data analysis and creating newsletters and flyers.For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Desirable Qualifications:
Professional experience in supporting adult learners in a college setting.Familiarity and ability to use Banner, STAR, Laulima, Kuali, MS-Word, MS-Excel, MS- Access, MS-Publisher, MS-PowerPoint, Adobe Acrobat Professional, Google Workspace, Canva or other graphic design softwareKnowledgeable of resources in the community that support parents, adults struggling with basic needs (food, housing, legal, behavioral health, etc)
