Wage:

$20 - $24/hr.

Scheduled Work Hours:

Mon - Fri - 8:00 am to 5:00 pm

Position Summary

The Program Assistant has a pivotal, multi-faceted role, providing high-level administrative support to the Property Management program. This position will report directly to the Asset and Property Management Associate Director at Catholic Charities Housing Services (CCHS). This position requires detail-oriented organization and communication. Primary duties include program coordination, administrative assistance and problem solving. The Program Assistant is a crucial member of the team, enabling senior management to focus on strategic responsibilities by managing administrative tasks and maintaining a well-organized work environment.

Responsibilities:

Administrative Support:

  • Prepares reports
  • Presentations and documents
  • Assists with data analysis as needed

Maintains communication with program participants, stakeholders, and partners.

Meeting Support:

  • Arranges and prepares for meetings.
  • Taking Minutes
  • Following up on action items

Confidentiality:

  • Maintains strict confidentiality of sensitive information and handles it with the utmost discretion

Information Management:

  • Organizes and maintains digital and physical files
  • Ensures quick retrieval of information.

Problem-Solving:

  • Anticipates and addresses administrative challenges and finds solutions to streamline processes

Perform other duties as assigned

Job Requirements:

Physical Requirements:

This position normally requires the physical demands of standing, walking, bending, lifting or performing other work requiring moderate physical exertion, talking, and hearing on a regular basis to perform the job requirement. These physical demands are required up to 80% of the time.

Non-Physical Requirements:

Education

  • High School Diploma required
  • BA/BS from an accredited college or university, preferred.

Experience

  • Minimum of 2 years proven working experience in administrative assistance, property management, or project management

  • Bilingual (English/Spanish) preferred, but not required

Licensure, Registration, Certification

  • Valid Washington State driver’s license and minimum required liability insurance for WA State

Employment is conditional upon:

  • Being cleared by criminal background check and fingerprinting when required
