Job Description Summary
The Program Assistant, under general supervision, provides standard program support to the TCWP Program.
Program Background
For more than a decade, the planning team at TCWP (Texas Community Watershed Partners) has used interactive scenario planning technologies to advance data-driven, collaborative, and holistic approaches to community planning. These tools are designed for ordinary citizens, elected officials, and decision makers to engage in 'what-if' analysis of future growth, development, and hazards. An incredible array of data products is used to support these tools and sustain our organization's mission of community outreach, education, and planning.
As a Program Assistant with TCWP, you will collaborate with a cross-functional team, providing administrative support as we build a next generation planning platform that raises people's voices and gives them more influence about the communities they live in.
Your Role
We are looking for a detail-oriented candidate who enjoys working in a collaborative environment. The candidate should be highly motivated, organized and solutions oriented. To excel in this role, you should possess effective time management and communication skills. Your ability to be resourceful and collaborative will be an essential part of this role. Initially, this role will support the program part-time (hours ranging 24-30 per week) with the potential for full-time in the future.
Responsibilities
- Assists in the coordination of assigned programs and products.
- Creates, edits, and maintains spreadsheets that are used for program analysis.
- Assists with coordinating meeting logistics and materials.
- Assists in coordinating logistics and travel for program seminars, workshops, orientations, and other special events.
- Creates, establishes, and maintains program files, databases, correspondence, and program materials.
- Assists with program communication details and coordinates responses to requests for product information.
- Coordinates program records retention and maintains reference and resource materials.
- Coordinates travel arrangements, prepares itineraries and processes expense reports.
- Plans and coordinates meetings, seminars, and other special events.
- Coordinates the maintenance of program supplies and equipment.
- Assists in providing customer support.
- Provides direct assistance to Program Coordinator and Program Director.
Qualifications
Education and Experience:
- Bachelor's degree or equivalent combination of education and experience
- No prior experience required.
Required Knowledge, Skills, and Abilities:
- Knowledge of word processing and spreadsheet applications.
- Verbal and written communication skills.
- Ability to multitask and work cooperatively with others.
Preferred Knowledge, Skills and Abilities:
- Experience with Concur Travel Management
- SharePoint Experience
