Job Description
The Procurement Specialist assists with daily operations and acts as the link between supply orders and customer orders in a fast-paced, high-energy environment.
RESPONSIBILITIES (include but are not limited to the following):
· Assure that terms and conditions for contracts are within specifications and report performance issues
· Investigate supplier concerns and provide strategic solutions
· Manage all freight quotes
· Enter POs and manage item records - This includes updating data according to a set schedule or at another user’s request
· Track schedules of goods and blanket POs
· Work to maintain data integrity, support quality control procedures, examine data for errors, and resolve issues (i.e., resolve discrepancies on RFPs)
· Prepare comprehensive excel reports including weekly and monthly sales reports
· Work on the open DSPO report to obtain supplier ship dates and enter those into the PO
· Follow up with suppliers on PO lines that have a planned ship date that is at least one week past due to confirm new planned ship date
· Resolve discrepancies between PO and packing slip/supplier invoice
· Maintain a high degree of communication with account managers to assist them in the selection of products and help them regarding orders
· Manage and build relationships with suppliers to ensure drop ships are being processed timely and accurately
· Ensure that orders are accurately entered into the sales system, make corrections, investigate, and work with internal staff quickly to resolve order problems
· Verify commission rates
· Ensure compliance with all company policies and procedures
· Manage return process to ensure returns are processed accordingly in system and associated to appropriate salesperson
· Identify opportunities to create efficiencies in order entry, and PO processes
· Perform related activities as assigned
REQUIREMENTS:
· 3 to 5 years of experience in related positions such as purchasing and order management
· Must work well under pressure while having excellent attention for details
· Communicate with tact and diplomacy
· Must have the ability to work independently, take initiative to complete duties, take ownership of problems to find solutions
· Be a team player who wants to contribute to a thriving environment
· Be proficient in Microsoft Office Suite
