Responsibilities

This intermediate-level position is responsible for assisting in the management of the Contract Administration program within Procurement Services. This position serves the Contract Administration program while maintaining integrity and accuracy of contract records, files, and ensuring contract compliance relevant to the University, State, and Federal regulations. Proactively coordinates and executes contract sourcing opportunities utilizing a high degree of initiative and independent judgement. This position reviews a wide range of procurement requests including long term and unique strategically sourced contracts while ensuring money is spent wisely. Provides guidance to level I Specialists.

  • Contract Review: Assist in initial review of moderately complex contracts, amendments, addendums of university contracts. Assist FSU Procurement Services and university staff/faculty to ensure correct contract template use and/or best method to complete contract.
  • Contract Management Database: Oversee the contract database and associated files, using the database to assist users tracking contract life cycle milestones (i.e., renewals, amendments, expirations and early termination) and deliverables.
  • Maintain the contract compliance module within Jaggaer (known as SpearMart), which includes uploading contracts, setting up parameters, tracking of contract deliverables, overseeing the contract database and associated files for documentation and archiving contract documents.
  • Prepare and distribute moderately complex reports and analyses of statistical data to facilitate planning and maintenance of accurate contract record files. Maintains integrity and accuracy of contract records and files.
  • Contract Management Training and Documentation: assist in the implementation of and conduct trainings on contract management and administration for both internal and external customers. Maintains documentation of contract manuals, policies, procedures, and other program resources.
  • Develop and maintain constructive and cooperative working relationships with colleagues, management, and campus stakeholders. Act in a consultative role with departments to identify and make changes to contract terms and conditions, mitigate risk, and ensure successful contract execution.
  • Maintain expertise and create goals for professional development in an effort to continuously improve and broaden knowledge in procurement of goods/services and contract administration. Keep current on products, technologies, cost trends, market conditions, and potential improvements to contract/procurement techniques and procedures.
Qualifications

A Bachelor's degree and three years of experience; or a high school diploma or equivalent and seven years of experience. (Note: a combination of post high school education and experience equal to seven years.)

  • Knowledge of purchasing, procurement, budgeting, and administrative management. Demonstrates initiative to learn and improve.
