General Definition of Work: This position will serve as one of two positions as Front Desk receptionist and switchboard operator. Duties as Front Desk receptionist include greeting clients, logging in clients and programs on the computer, reading rights to clients, receiving forms/letters/documents for workers, and notifying workers a client is waiting. Duties as switchboard operator include answering 9 incoming lines, 1 intercom line and 100 extensions, (we have automated attendant, voice mail, and receive up 200-600 calls per day), preparing reports, log in all information from the drop box several times per day by entering information on the computer then scan and send to appropriate area, and other duties as assigned. We have a high volume of Spanish speaking clients so worker will be required to interpret and translate from Spanish to English for any of the DSS programs when necessary. Extremely high public contact and computer experience is required.
Knowledge, Skills, and Abilities: Significant knowledge and ability to use correct grammar, vocabulary, spelling and program terminology to compose, proofread and edit correspondence, reports and other materials. Ability to record, compile, summarize and perform basic analysis of narrative and numerical materials. Ability to learn and independently apply laws, program rules and regulations. Ability to learn programs and services and apply this knowledge in problem-solving and responding to most questions and inquiries. Ability to use judgment in establishing program procedures and organizing and coordinating workflow. Ability to independently work with people with courtesy and tact in performing public contact and communication duties that may be sensitive in nature. Ability to gather and release pertinent program information.
Education and Experience: Graduation from high school and demonstrated possession of knowledge, skills and abilities gained through at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience.
